Office Administrator (Maternity Leave Coverage)

Coral Home Comfort is a locally owned and operated HVAC company serving the Okanagan. We are looking for an organized, motivated, and customer focused Office Administrator to join our team.
This position is a one year maternity leave replacement with the opportunity for a permanent part time position after the maternity leave concludes, depending on business needs and performance.
Position Summary
You will work alongside another Office Administrator to help keep our office running smoothly. This role requires someone who can multitask, stay organized in a fast paced environment, and communicate professionally with customers, technicians, suppliers, and our sales team.
Daily Responsibilities
Morning Responsibilities
- Review incoming water heater quote requests.
- Contact customers to schedule appointments or discuss their quote requests.
- Follow up on customer inquiries as required.
Administrative Duties
- Answer incoming phone calls and assist customers.
- Respond to customer emails.
- Schedule and dispatch service calls for technicians.
- Support the sales team with customer communication and scheduling.
- Assist technicians with questions and office support throughout the day.
Ordering and Warranty Administration
- Complete part warranty and labour warranty submissions from the previous day's work.
- Order replacement parts as required.
- Place stock orders to maintain warehouse inventory.
- Communicate with suppliers regarding orders and availability.
Permits and Payroll
- Submit permit inspection requests following completed installations.
- Assist with payroll preparation and submission.
- Maintain accurate records and filing.
General Office Duties
- Data entry and record keeping.
- Customer follow up.
- Organizing paperwork and digital files.
- Assisting with additional administrative tasks as required.
Qualifications
The ideal candidate will have:
- Excellent communication and customer service skills.
- Strong organizational and time management abilities.
- Ability to prioritize multiple tasks throughout the day.
- Strong attention to detail.
- Comfortable learning new computer software and office systems.
- Experience using Microsoft Office including Outlook, Word and Excel.
- Previous office administration or customer service experience is preferred.
- Experience in the HVAC or construction industry is an asset but not required.
