Job Overview We are looking for a highly organized and motivated Summer Assistant to support our Junior Training Program (JTP), Adult Learn to Sail programs, and club boat charters. This is a dynamic, fast-paced role that combines administration, customer service, and event coordination—perfect for someone who enjoys working with people and being part of an active waterfront environment.
Duties & Responsibilities
1. Program Administration & Registration Support:
- Manage daily attendance tracking, registrations, and program updates for Junior and Adult programs.
- Maintain accurate participant records, including emergency contacts, medical information, and registration details.
- Coordinate daily check-in procedures and support smooth program logistics.
- Track participant progress, including skill levels and photos for future session planning.
2. Customer Service & Communication:
- Communicate with families and participants before, during, and after programs to ensure a positive experience.
- Respond to emails, phone calls, and general inquiries in a timely and professional manner.
- Send program communications, updates, and newsletters using Mailchimp and WhatsApp.
- Follow up on absences, late arrivals, and other attendance-related concerns.
3. Financial & Administrative Support:
- Prepare invoices, track payments, and organize receipts to ensure accurate record keeping.
- Support day-to-day administrative needs to keep program operations organized and efficient.
4. Safety & Program Readiness:
- Ensure first aid supplies are stocked, organized, and ready for daily program use.
- Assist in maintaining up-to-date emergency information and ensure proper documentation is available when needed.
5. Event & Program Coordination:
- Support the planning and execution of program events, including awards, certificates, and internal regattas.
- Assist with coordination of the Adult Learn to Sail program, ensuring schedules and logistics are communicated clearly.
6. Boat Charter Support:
- Help manage bookings, participant communication, and scheduling for Elliott 6 and Capri boat charters.
- Support charter logistics to ensure a smooth and professional experience for all participants.
7. Team Collaboration & Staff Support:
- Work closely with coaching staff to support organization, scheduling, and program communication needs.
- Assist with day-to-day coordination to ensure programs run efficiently and professionally.

- Comfortable working with spreadsheets, email tools, and data systems
- Ability to work both independently and as part of a team
- Enthusiasm for sailing and a desire to contribute to a thriving sailing community.
- First Aid and CPR certification is an asset.
- Completion of the Safe Sport Training Module by the Coaching Association of Canada (can be completed after confirmed employment and prior to contract start).
