Activities:
Sales & Business Development
- Actively identify and develop opportunities within SMERF and Athletic segments.
- Generate new business through inquiries, site tours, and outbound prospecting.
- Build and maintain strong client relationships to drive repeat business and long-term account growth.
- Manage client communication pre arrival, in house, and post event to ensure satisfaction and re solicitation opportunities.
- Conduct market research to identify trends, target accounts, and competitive insights.
- Assist in drafting proposals and contracts
- Support rate code and block builds within the PMS.
- Participate in annual sales planning and monthly sales and budget meetings.
Event & Group Coordination
- Act as the primary liaison once contracts are executed, ensuring smooth and professional communication throughout the lifecycle of the group.
- Coordinate all group and event logistics including:
- Room block management
- Rooming lists
- Payment collection
- Group meals and catering functions
- BEO preparation
- Group file preparation
- Final billing
- Lead internal coordination with hotel departments to ensure all event details are executed as contracted.
- Support and/or lead BEO meetings to align operations with client expectations.
- Maintain accurate arrival calendars and catering revenue reporting.
- Conduct post event follow up and evaluations to identify gaps and opportunities.
Sales Administration
- Maintain accurate records in CRM and PMS systems, including client profiles, group details, and sales activities.
- Support the sales team with administrative tasks including reporting, documentation, and file management.
- Assist with VIP arrivals, welcome amenities, and special requests.
- Ensure all group documentation is complete, organized, and accessible.
Marketing Support
- Generate ideas and contribute to the monthly social media content calendar to support brand awareness and engagement.
Miscellaneous
- Perform additional duties as assigned by the Director of Sales and Marketing, Sales Manager and General Manager.
