We are looking for a highly organized, detail-oriented Purchasing Administrator to provide maternity leave coverage in our Operations department.
This position is responsible for the day-to-day administration of purchasing activities, including creating purchase orders, communicating with suppliers, maintaining accurate records, and supporting material availability for production. The role plays an important part in ensuring that materials, components, and supplies are ordered accurately and delivered on time.
The ideal candidate enjoys administrative work, has strong attention to detail, and is comfortable working in an ERP system such as NetSuite.
Key Responsibilities:
Purchasing Administration
- Create and issue purchase orders in NetSuite.
- Review purchasing requests and ensure required information is complete and accurate.
- Obtain supplier quotations as requested.
- Send purchase orders to suppliers and confirm receipt.
- Track open purchase orders and maintain accurate delivery dates.
- Follow up with suppliers regarding order status, lead times, and shipment schedules.
- Communicate supplier delays, shortages, or changes to internal stakeholders.
Supplier Communication
- Act as a primary point of contact for routine supplier inquiries.
- Maintain professional relationships with vendors.
- Resolve basic purchasing discrepancies and escalate issues when necessary.
- Coordinate with suppliers to ensure orders are delivered according to requirements.
Data Entry & Record Management
- Maintain accurate purchasing records within NetSuite.
- Update pricing, lead times, and supplier information as required.
- Ensure purchase orders and purchasing documentation are complete and accurate.
- Assist with maintaining vendor files and documentation.
Internal Coordination
- Work closely with Production, Engineering, Inventory, and Operations teams to support material requirements.
- Assist with identifying purchasing priorities to support production schedules.
- Provide updates on expected delivery dates and supplier commitments.
- Support inventory and receiving personnel with purchasing-related inquiries.
General Administrative Support
- Prepare purchasing reports and spreadsheets as requested.
- Assist with document filing and organization.
- Support continuous improvement of purchasing processes and record-keeping practices.
- Perform other administrative duties related to purchasing and procurement activities.
Qualifications
- High school diploma or equivalent.
- Previous administrative, purchasing, procurement, or office experience preferred.
- Experience using ERP systems is an asset.
- Experience with NetSuite is considered a strong asset.
- Proficiency in Microsoft Office, including Outlook and Excel.
- Strong written and verbal communication skills.
- Excellent attention to detail and data accuracy.

SALARY RANGE: $45,000 - $50,000 annually
