Administrative Assistant
Piston Well Services Inc. is seeking a Receptionist/Administrative Assistant to join our team. This is a part time position Monday - Friday 8-3 with potential to move into a full time position.
The ideal candidate will be detail-oriented, organized, and confident working with multiple online systems.
The Administrative Assistant assists in Payroll, Accounting, and other administrative duties to keep key office functions running smoothly. They handle requests pleasantly, promptly, and effectively, in person, by phone and on-line.
Duties and Responsibilities:
- Data entry for payroll, tracking and invoicing systems.
- Matches packing slips with invoices. Data entry for PO’s.
- Reviews supplier statements and obtains missing invoices.
- Files all invoices once they are paid and posted. Matches cheque stubs to invoices and files them.
- Assists in the reception function; answering the phone & directing calls, greeting visitors, mail & email, filing.
- Maintains an inventory and orders necessary office supplies and coffee supplies.
- Provides assistance with photocopying, printing and laminating.
Qualifications:
- Strong data entry skills with a high level of accuracy and attention to detail.
- Experience entering and reviewing information in payroll, accounting, tracking, and/or invoicing systems.
- Knowledge and experience with Microsoft Office, including Word, Excel, and Outlook.
- Proficient in English with the ability to create professional documents and spreadsheets.
- Effective time management, organization, and multi-tasking skills.
- Experience in A/P and A/R is required; familiarity with Sage would be an asset.
- Experience with online invoicing systems such as Enverus, OpenInvoice, Ariba, or GEP SMART would be an asset.
- Ability to maintain confidentiality when handling payroll, employee, and financial information.
- Coursework in administration, accounting, payroll, or bookkeeping would be an asset.
Job Type: Part-time
Pay: $27.00-$30.00 per hour
