Role Summary
The Lighting + Furniture Procurement Specialist is responsible for managing the sourcing, procurement, and coordination of lighting, furniture, finishes, and related products for designer-led commercial and residential projects. This role serves as the company's in-house procurement expert, ensuring products are sourced accurately, competitively, and delivered on schedule.
A primary focus of this position is the procurement of decorative and architectural lighting. The successful candidate must possess extensive experience sourcing and quoting lighting products across multiple manufacturers and suppliers. In addition to lighting expertise, the role supports furniture procurement and provides administrative support to facilitate seamless project execution and exceptional client service.
Key Responsibilities
Lighting Procurement (Primary Focus)
- Source, quote, and procure decorative, architectural, and custom lighting fixtures from domestic and international manufacturers.
- Review lighting specifications, schedules, drawings, and project requirements to identify suitable products and suppliers.
- Coordinate pricing requests, lead times, and project timelines with lighting vendors.
- Provide designers and sales staff with technical product information, cut sheets, installation requirements, and specification support.
- Monitor project schedules to proactively identify and address procurement risks related to lighting lead times and availability.
Furniture & Product Procurement
- Source and procure furniture, finishes, accessories, and related products that align with project budgets and design intent.
- Research product options and alternatives when specifications require value engineering or lead-time adjustments.
- Coordinate with vendors regarding pricing, availability, customization options, and delivery schedules.
Project Coordination & Administration
- Work with the Sales Assistants to prepare and maintain quotes and order confirmations.
- Collaborate with Account Managers, Designers, and Sales Assistants to maintain accurate project budgets and procurement records.
- Update CRM systems, procurement trackers, and project documentation.
- Support showroom operations and assist clients with product information, samples, and general inquiries when required.
Qualifications & ExperienceRequired
- Minimum 3–5+ years of direct lighting procurement experience in the interior design, architectural, commercial furniture, lighting, or construction industry.
- Demonstrated experience sourcing and managing decorative and architectural lighting projects from specification through delivery.
- Strong understanding of lighting manufacturers, product categories, specifications, lead times, and procurement processes.
- Experience coordinating multiple vendors and managing complex project timelines.
- Excellent organizational skills with strong attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
Preferred
- Proficiency with Google Workspace, CRM (Hubspot) systems, and project tracking tools a plus.
