Position Title: Operations Coordinator
Salary: $45,000 year
Location: 1925a Barton St. E, Hamilton, ON, in-person
Hours: Mon to Fri, 8 am - 5 pm, on-call evenings every fourth week

Position Summary
We are seeking a highly organized and detail-oriented Operations Coordinator to support the day-to-day operations of our trucking division. This role plays a key part in ensuring efficient dispatch coordination, shipment tracking, customer communication, administrative support, and operational reporting.
The ideal candidate thrives in a fast-paced, high-volume environment, can manage multiple priorities simultaneously, and enjoys working with both drivers and customers to ensure operational excellence.
What You'll Do
Administrative & Documentation Support
- Perform detailed data entry with a high degree of accuracy.
- Process Proofs of Delivery (PODs) and ensure all required shipment documentation is complete and properly filed.
- Assist with invoicing, billing administration, and record management.
- Maintain shipment records and supporting documentation within the TMS system.
- Perform general office duties including answering phones, filing documents, and supporting office operations.
Operations Support
- Assist in monitoring driver performance and compliance with company policies, safety standards, and transportation regulations.
- Help coordinate operational activities to maximize fleet efficiency and service performance.
- Support reporting and analysis of key operational metrics.
- Maintain accurate records related to dispatch, payroll, maintenance, and operational activities.
Dispatch & Shipment Coordination
- Support daily dispatch operations to ensure the safe and timely movement of freight.
- Track a high volume of active shipments and provide real-time updates to drivers, customers, and internal teams.
- Communicate load assignments, delivery schedules, route changes, and operational updates to drivers.
- Troubleshoot delivery issues and unexpected situations to minimize service disruptions.
- Maintain accurate dispatch schedules and customer delivery timelines.
Customer Service & Communication
- Serve as a key point of contact for customers regarding shipment status and delivery updates.
- Respond to customer inquiries professionally and resolve issues in a timely manner.
- Build strong working relationships with drivers, customers, and internal stakeholders to ensure exceptional service.
Other Duties
- Take on additional responsibilities and special projects assigned to support the efficient operation of the business.

- Ability to work independently as well as collaboratively within a team environment.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
- Knowledge of transportation, logistics, fleet operations, or regulatory compliance is considered an asset.
- Experience with Transportation Management Systems (TMS), such as TMW, is an asset.
- Previous experience in transportation, logistics, dispatch, customer service, or administrative support is preferred.
