The Material Coordinator supports Q-Line’s warehousing and logistics operations by ensuring accurate inventory
control, timely material flow, and effective communication between warehouse, logistics, and project teams. This role plays a key part in maintaining data integrity, supporting project schedules, and driving continuous improvement in material management processes.
KEY RESPONSIBILITIES & ACCOUNTABILITIES

Maintain accurate inventory records and transactions across internal systems and WMS

Process material receipts, issues, and discrepancies (OSD), ensuring data accuracy

Support material reconciliation and resolve inventory discrepancies

Coordinate with warehouse teams, subcontractors, and client representatives on deliveries and schedules

Liaise with logistics and expediting teams to support timely material movement

Maintain warehouse and laydown schedules, providing regular updates to stakeholders

Generate reports and track KPIs, LEMs, and material status updates

Collect and present warehousing data to leadership and clients as required

Support monthly forecasting, material look-ahead planning, and invoicing processes

Identify opportunities for process improvement and support department initiatives

Ensure compliance with safety, quality, and operational procedures

Support additional material management and operational tasks as required
KNOWLEDGE, SKILLS & ABILITIES

Experience working with ERP and WMS systems (e.g., SMAT, SiteSense)

Strong proficiency in Microsoft Office, including Excel, Word, Outlook, and SharePoint

Strong communication skills, both written and verbal

Ability to manage multiple priorities and meet deadlines in a fast-paced environment

Self-motivated with the ability to work independently and collaboratively

Strong problem-solving skills with attention to detail

3–5 years of experience in a Materials Coordinator or similar role within industrial construction or warehousing

Strong attention to detail with the ability to follow structured processes

Ability to pass background checks and pre-employment drug and alcohol testing
