Overview
We are seeking a detail-oriented and organized Office Assistant to join our team at the fastest-growing pest control company in Manitoba, located just 12 minutes south of the Perimeter. This role is essential in supporting daily administrative operations, ensuring smooth office functions, and providing excellent customer service. You will be the backbone of our daily operations, providing essential support to the staff and ensuring the office environment is professional, organized, and efficient.
Responsibilities
- Manage front desk duties, including greeting visitors and answering phone systems with professionalism and courtesy.
- Perform tasks in support of the Office Manager. i.e., write up deposits, photocopy all cheques, scan, and update files in the filing system.
- Perform data entry and maintain accurate records using Microsoft Office 365, Google Workspace, QuickBooks and Clypboard Reporting System.
- Process client service requests, including banking updates, service payments, address updates, and other account maintenance tasks.
- Assist with appointment scheduling, client support, and follow-up communications.
- Support bookkeeping activities, including invoicing and expense tracking.
- Maintain organized files, both digital and physical, for easy retrieval.
- Provide excellent customer service by promptly and professionally addressing inquiries or concerns.
- Support administrative projects as needed, including preparing reports and correspondence.
- Follow up and send payment reminders.
Requirements
- Experience in office administration or clerical roles
- Knowledge with Microsoft Office 365 (Word, Excel, Teams, OneDrive), Google Workspace, and QuickBooks
- Basic computer skills, including data entry, typing, proofreading, and familiarity with multi-line phone systems
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong phone etiquette and customer service skills to support clients and visitors
- Understanding with filing systems, record keeping, and administrative support tasks
- Ability to work efficiently in a fast-paced environment while maintaining attention to detail.
Pay: $18.00-$24.00 per hour
