Bright Directions Psychology is a psychology clinic located in the southwest Calgary community of Britannia. We are a private practice that specializes in an innovative and integrative approach to the assessment and treatment of children, youth and adults. Our goal is simple: to help our clients take the steps they need to move in a bright direction.
Who We’re Looking For
We are seeking a Clinic Administrator in a full-time capacity (5 days / 40 hours per week). We invite applications from competent, intelligent, and well-spoken individuals who have experience in office administration and management, preferably within a private-sector psychology, mental health services or other healthcare environment. You will be responsible for seamlessly managing client communications, clinic operations and completing administrative tasks to enable our psychologists to stay focused on their clients. We also expect the right candidate to represent our practice at the same exceptional level that we expect from our psychologists: warmly greeting, building rapport and establishing trust with our clients.
Hours of work are 8:45am to 4:45pm. Days of work will be weekdays from Monday through Friday.
Responsibilities
- General administrative and office support for a clinic with multiple psychologists
- Client reception and management including greeting, check in, billing, and bookings
- Answer and respond to calls and emails; correspondence such as letters and forms
- Assist psychologists with initial consultation and documentation of client needs; client follow-up
- Organize and schedule appointments; collect intake information from clients
- Coordinate client payments, including insurer direct billing and accounts receivable
- Clinic management system (Jane app) administration including record creation and maintenance
- Identify and seize opportunities for constant improvement and generally making things awesome
- Assist with maintenance of clinic, equipment and supplies; other duties as assigned
Qualifications
- Fully fluent in English; well-spoken with a naturally warm and empathetic demeanor
- Able to thrive in a fast-paced environment while under pressure
- Have a meticulous eye for detail and accuracy without losing sight of the big picture
- Take direction with a positive attitude and be able to handle constructive feedback well
- Able to communicate professionally, with excellent writing and editing abilities
- Efficient computer user with app multi-tasking alongside strong and automatic typing skills
- Proficiency with Microsoft Office applications including Outlook, Word, Excel, SharePoint; proficiency working with the Jane app is an asset
- Related experience booking appointments in private-sector psychology, mental health or other healthcare clinic setting is a strong asset
- Must have reliable transportation and be willing to run out-of-office errands occasionally
