Accounting & Operations Coordinator

Role Summary
Orca is looking for an Accounting & Operations Coordinator to help build the operational foundation of a rapidly growing technology company.
This role is responsible for day-to-day accounting while supporting purchasing, inventory, operations, customer administration, and internal projects. As Orca grows from product development into commercial deployment, the successful candidate will become a key member of the team, working closely with leadership across virtually every area of the business.

Key Responsibilities
Accounting & Finance
- Perform full-cycle bookkeeping using Sage 50 Premium.
- Process accounts payable and accounts receivable.
- Prepare customer invoices and monitor collections.
- Reconcile bank accounts, credit cards, and general ledger accounts.
- Prepare month-end working papers and assist with year-end financial reporting.
- Support payroll administration and expense reporting.
- Prepare GST and other regulatory filings.
- Assist with budgeting, cash flow tracking, and financial reporting.
- Work with external accountants during year-end and other reporting activities.
Purchasing & Inventory
- Create and manage purchase orders.
- Coordinate purchasing activities with suppliers and contract manufacturers.
- Track inventory receipts, movements, and inventory accuracy.
- Maintain inventory records and assist with inventory planning.
- Support production scheduling and material availability.
- Assist with supplier communications and procurement documentation.
Operations & Project Administration
- Coordinate administrative activities across the business.
- Maintain organized electronic records, contracts, and business documentation.
- Support project tracking, customer deployments, and internal initiatives.
- Assist with grant administration, insurance, and corporate compliance documentation.
- Coordinate meetings, travel, and general office administration.
- Help develop and improve internal processes as the company scales.
Customer & Commercial Support
- Assist with customer onboarding and administrative support.
- Process customer orders and maintain customer records.
- Prepare quotations, proposals, invoices, and commercial documentation.
- Support customer communications and coordinate internal follow-up.
- Assist sales, engineering, and deployment teams with administrative requirements.
Qualifications
- Diploma or degree in Accounting, Business Administration, or a related discipline.
- Approximately 3–7 years of bookkeeping, accounting, or finance administration experience.
- Experience using Sage 50 or similar accounting software.
- Strong Microsoft Excel and Microsoft 365 skills.
- Excellent organizational skills with strong attention to detail.
- Strong written and verbal communication skills.
- Comfortable managing multiple priorities in a fast-paced environment.
- Able to work independently while collaborating effectively with a small team.
Advantageous Attributes
- Experience in a startup, manufacturing, hardware, or technology company.
- Experience with purchasing, inventory management, or supply chain administration.
- Experience supporting customer projects or operations.
- Familiarity with CRM, ERP, or project management systems.
- A practical, hands-on attitude and willingness to help wherever needed.
- Interest in growing into broader operational responsibilities as the company expands.
Pay: $45,000.00-$65,000.00 per year
