Administrative Assistant
Summary:
We are seeking an organized, proactive individual to provide administrative support to our senior leadership team. This role assists productivity while maintaining a professional and efficient office environment.
Support functions include: general administrative functions; managing emails; tracking and reporting travel expenses; preparing reports and correspondence; communicating with a wide variety of internal and external contacts; and coordinating meetings, travel, and other activities as needed.
Duties and Responsibilities - Summarized
- To maintain schedules and organize and coordinate the logistics of meetings and calendars
- Provide communication support to external and internal stakeholders, compile information, gather and compute various data and prepare reports and summaries
- Perform clerical functions as needed for Council and senior management, including recording minutes and follow-up items when necessary
- Maintain filing systems, both manual and digital
- Understand and interpret existing policies
- Arrange and organize travel as needed
- Draft and/or edit correspondence, presentations, and reports for review
- Organise, manage and participate in virtual meetings
- Other duties which are congruent and consistent with the nature of the job.
Qualifications - Summarized
- Grade 12 or equivalent plus related post-secondary courses in Administration
- Acceptable keyboard and IT skills. Strong knowledge and utility of desktop software, including use of Windows suite of programs (i.e. Word, Outlook, Excel, MS Teams), as well as the ability to learn other proprietary software
- Mi’kmaw language skills are preferred
- A minimum of 3 years of previous office experience is preferred, including a strong background in clerical skills
- Strong interpersonal skills with demonstrated ability to work effectively with a wide variety of internal as well as external stakeholders
- Exceptional written and communication skills. Experience in drafting and proofreading a variety of correspondence and reports
- Ability to organize meetings and take comprehensive notes
- Understanding how travel is organised, tracked and reported
- Must have excellent organizational and time management skills and an ability to work independently under tight timeframes, deadlines and competing priorities
- Demonstrate tact, diplomacy and sound judgement
- Confidentiality requirements
- Valid NS Driver’s license and have access to a reliable vehicle
Working Conditions
Monday to Friday from 9 am – 4 pm. This is an in-office position and may require additional work outside of normal office hours.
The minimum starting salary for this role is $38,000. We recognize all Indigenous, Federal and Provincial holidays, as well as time off over the Christmas break. This is in addition to vacation, family and sick days.
Preference will be given to qualified Pictou Landing First Nation Band members, community members, and other First Nation members.
