Position Summary
We are seeking a highly organized and personable Front Desk Receptionist & Event Coordinator to be the face of our Calgary office. This individual will manage front desk operations, coordinate meetings and events, support advisors and leadership and ensure every visitor receives a professional and welcoming experience.
The ideal candidate thrives in a fast-paced environment, enjoys juggling multiple priorities and takes pride in creating an organized workplace.
Key Responsibilities
Front Desk & Office Administration
- Welcome clients, advisors and guests
- Answer and direct incoming phone calls
- Manage reception, meeting rooms and common areas
- Coordinate incoming and outgoing mail and courier services
- Order office supplies and maintain inventory
- Manage office vendors and service providers
- Support document preparation, scanning and filing
- Assist with onboarding packages and office logistics
Event Coordination
- Coordinate advisor meetings, training sessions and networking events
- Book venues, catering and audiovisual requirements
- Manage invitations, RSVPs and attendee communication
- Prepare presentation materials and event packages
- Set up and tear down meeting rooms
- Coordinate speaker logistics and guest experiences
Executive & Team Support
- Assist leadership with scheduling and calendar coordination
- Book travel and accommodations when required
- Prepare meeting agendas and presentation materials
- Support special projects and operational initiatives
- Coordinate internal communications
Client Experience
- Deliver exceptional hospitality to visitors
- Ensure meeting spaces are presentation ready
- Coordinate refreshments and catering
- Maintain a polished and professional office environment
Qualifications
- 2+ years of administrative, reception or event coordination experience
- Outstanding communication and interpersonal skills
- Strong organizational and time management abilities
- High attention to detail
- Ability to manage multiple priorities with minimal supervision
- Professional appearance and demeanor
- Proficiency with Microsoft Office and Google Workspace
- Experience with CRM systems is an asset
- Event planning experience is considered an asset
