Your Opportunity:
Under the general supervision of the Clerical Supervisor and Gastroenterology Managers, the Administrative Support IV (Procedure Booking Clerk) plays a key role in supporting the delivery of high-quality outpatient Gastroenterology and Hepatology services. This position is responsible for ensuring the efficient coordination of patient care activities and acts as a central liaison between patients, physicians, registered nurses, and multidisciplinary teams. The Procedure Booking Clerk manages the end-to-end coordination of clinic appointments, diagnostic testing, and endoscopic procedures within a fast-paced, patient-focused environment. This includes scheduling procedures in the Endoscopy Unit, processing physician orders, organizing diagnostic services, and ensuring all required documentation and results are accurately tracked and communicated. A significant component of the role involves direct patient communication, including providing clear instructions related to appointments and procedure preparation, both verbally and in writing. This role may offer opportunities for cross-training in other Administrative Support IV functions, including Clinic Medical Office Assistant (MOA) and Endoscopy Unit Clerk positions, supporting professional development and team versatility. Current hours of work are Monday to Friday, 0800–1700 and may be adjusted to meet operational requirements.

Required Qualifications:
Some post-secondary education.
Additional Required Qualifications:
Post-secondary education in Business Administration, Medical Office Assistant, or a related field, 1–2 years’ experience in a medical clerical role, demonstrated experience booking appointments, diagnostic tests, and procedures, demonstrated knowledge of GI terminology, tests, and procedures, proficiency with multiple computer systems, including MS Word, Excel, and Teams; minimum typing speed of 50 wpm, strong attention to detail with the ability to multitask and adapt in a fast-paced, evolving environment, excellent verbal and written English communication skills, demonstrated commitment to providing excellent patient- and family-centred care, with a focus on clear communication and a positive patient experience, proven ability to manage frequent interruptions and maintain accuracy in a busy setting, strong interpersonal skills with the ability to collaborate effectively with multidisciplinary teams and stakeholders, ability to work independently, prioritize tasks, problem-solve, and exercise sound judgment with a high degree of accuracy, proficiency with standard office equipment, including multi-line phones, fax/right fax, and photocopiers.
Preferred Qualifications:
Previous experience in Ambulatory/ Outpatient experience preferred. Previous experience working in GI/HEP. Experience with Netcare, Connect Care strongly preferred (Lumens and Referral Coordinator roles). Previous high-volume booking experience preferred.
