Ming Shine Auto Detailing is seeking a friendly, organized, and customer-focused Appointment Coordinator/Receptionist to be the face of our business. This is a dynamic role that combines front-office administration with occasional hands-on support in our detailing facility. Key Responsibilities Administrative & Reception Duties
- Greet customers in person, by phone, and via email in a professional and friendly manner.
- Schedule and manage vehicle detailing appointments.
- Confirm appointments and follow up with customers regarding services.
- Prepare estimates, invoices, and process customer payments.
- Maintain customer records and update scheduling software.
- Respond to customer inquiries and provide information about detailing services.
- Coordinate daily workflow between customers and shop staff.
- Assist with general office administration and filing.
Customer Service
- Deliver exceptional customer service before, during, and after appointments.
- Address customer concerns professionally and escalate issues when necessary.
- Build positive relationships with customers to encourage repeat business and referrals.
Shop Support (Training Provided)
- Assist technicians with vehicle preparation and movement when required.
- Help maintain a clean and organized reception and shop area.
- Support basic shop operations during busy periods.
- Learn detailing processes to better assist customers and coordinate services.
- Other duties as assigned.
Qualifications
- Previous experience in reception, appointment scheduling, customer service, or a similar role is preferred.
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Comfortable using computers, email, and scheduling software.
- Ability to multitask in a fast-paced environment.
- Positive attitude and willingness to learn.
- Valid driver's license preferred.
- Ability to perform light physical tasks and spend occasional time working in the shop environment.

Requirements
- Proven clerical or administrative experience
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools
- Experience with Sage 50 would be considered an asset
- Excellent organizational skills with attention to detail and accuracy in typing and proofreading
- Exceptional customer service skills with professional phone etiquette
- Ability to handle multiple priorities efficiently in a fast-paced environment
- Familiarity with front desk operations and multi-line phone systems
- Strong organizational skills with the ability to manage filing systems effectively
- High school diploma or equivalent; additional office administration training is preferred
Job Type: Full-time
Pay: $18.00-$22.00 per hour
