Position Overview
This position directly oversees all management and administrative aspects of the properties located in the assigned portfolio. This includes all Condominium Corporations currently located in the portfolio, and any future additions.
Responsibilities
- Oversee the collection of common element fees.
- Responsible for weekly site inspections.
- Direct and supervise any and all persons engaged to work at the property.
- Notify the appropriate personnel of complaints originating from the Board or residents with respect to any aspect of the maintenance of the Condominium or any other issue.
- Enforce the Declaration, By-Laws, Rules and Regulations and policies of the Corporation.
- Maintain the emergency plans and systems to ensure a safe environment.
- Establish and set preventative maintenance specifications for all major contracts and services, oversee the tendering process, enforce maintenance standards, and conduct contractor performance reviews.
- Develop recommendations consistent with goals of the Board of Directors in collaboration with the management staff, and with input from Senior Management.
- Responsible for the preparation of the monthly Board of Directors package consisting of meeting agenda, previous meeting minutes, management reports and supplementary information.
- Coordinate and attend Annual General Meetings, Special Meetings, and Monthly Board Meetings.
- Review and analyze the financial statements, balance sheet and general ledger for the Condominium(s) prior to distribution to the Board.
- Prepare and review the Corporation’s annual budget in consultation with the Board and identify reserve expenditures in accordance with the reserve fund study.
Qualifications
- Hold an active CMRAO General License
- RCM Designation would be highly desirable
- Minimum of 2 years proven experience in managing residential or commercial condominiums.
- Familiarity with property management software such as Yardi or similar platforms
- Strong working knowledge of Microsoft Office (Word, Excel and Outlook)Strong organizational skills with attention to detail in data entry and record keeping
- Excellent customer service skills with professional phone etiquette
- Ability to negotiate effectively with vendors, residents, and stakeholders
- Exceptional communication skills both written and verbal
- Ability to handle multiple tasks efficiently in a fast-paced environment
Work is performed off-site at head office, however travel to where the properties are located is required weekly in order to complete site inspections and check on any deficiencies. Standard office equipment is available for use for any matters related to the functions of the job.
This position has site hours Monday to Friday 9-5pm, On-Call required, Group medical plan offered after probation period. Salary to commensurate with experience.
