Job Overview
As the Property Manager Assistant you support the effective day-to-day operations of a property portfolio, ensuring smooth tenant relations, accurate administrative processes, and well-maintained living environments. This role plays a key part in delivering responsive service to tenants while supporting the financial and operational performance of the properties.
The Property Manager Assistant acts as a primary point of contact for tenant communications, responding to inquiries, addressing concerns, and helping foster positive tenant relationships. They assist with rent collection by tracking payments, following up on outstanding balances, and maintaining accurate financial records.
Administrative responsibilities include maintaining organized property records, lease agreements, and supporting documentation to ensure compliance and accessibility. The role also involves coordinating maintenance activities by scheduling repairs, liaising with contractors, and ensuring work is completed in a timely and satisfactory manner.
In addition, the Property Manager Assistant provides support for basic bookkeeping functions, including invoicing, expense tracking, and account reconciliations. Occasional property inspections may be conducted to assess property condition, identify maintenance needs, and ensure standards are upheld.
This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities. Effective communication, problem-solving abilities, and a proactive approach are essential to success in this role.
Key Responsibilities
- Coordinate tenant communications and respond to inquiries in a timely and professional manner
- Assist with rent collection, track payments, and follow up on outstanding balances
- Maintain organized property records, lease agreements, and related documentation
- Schedule maintenance and repairs, and liaise with contractors to ensure timely completion
- Support basic bookkeeping tasks, including invoicing, expense tracking, and reconciliations
- Conduct occasional property inspections, as required
- Provide general administrative support to ensure smooth daily operations
Required Skills & Qualifications
- Previous experience in property management, administration, or a related field preferred
- Basic bookkeeping or accounting knowledge
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Proficiency in Microsoft Office (Excel, Word)
- Knowledge of Sage Accounting
- Excellent communication and interpersonal skills
- Strong problem-solving abilities and attention to detail
- Ability to work independently and manage time effectively

Pay: $40,000.00-$60,000.00 per year
