Operations Coordinator
1st Choice Construction Site Services Inc. is looking for an organized, detail-oriented Operations Coordinator to support our growing operations team and provide administrative support to the President.
This is an operations-focused administrative role. The successful candidate will help manage customer communication, work order administration, invoicing support, documentation, collections follow-up, and day-to-day office tasks.
About Us
1st Choice Construction Site Services Inc. has been serving the Edmonton construction industry since 2006. We provide site service solutions for builders and contractors, including waste bins, disposal bags, temporary fencing, temporary walkways and railings, and portable toilets.
Position Summary
The Operations Coordinator will support the Operations team by ensuring customer requests are documented, work orders are created accurately, completed work is processed for invoicing, and administrative follow-ups are completed in a timely manner.
Key Responsibilities
- Answer incoming calls and respond to customer emails professionally and promptly.
- Create, update, and maintain accurate work orders in company systems.
- Confirm customer information, service details, site details, pricing, and purchase order information are complete and accurate.
- Prepare customer invoices from approved work orders, purchase orders, and supporting documentation.
- Review work orders before invoicing to identify missing information or discrepancies.
- Follow up with Operations on incomplete work orders, missing details, or billing questions.
- Assist with customer account updates, purchase order tracking, and operational data entry.
- Support collections by following up on outstanding customer balances as directed.
- Maintain accurate customer, job, billing, and administrative records.
- Complete administrative duties including scanning, filing, document management, vendor applications, cheque printing, and other general office tasks.
- Provide administrative support to the President, including scheduling, document preparation, follow-ups, and task tracking.
- Support general Operations administration and complete other duties as assigned.

Must-Have Qualifications
- Experience preparing and processing invoices.
- Experience with customer collections or accounts receivable follow-up.
- Experience using QuickBooks Online.
- Experience using work order, dispatch, or service management software.
- Intermediate Excel skills.
- Strong customer service skills.
- Strong attention to detail and accuracy.
- Excellent organization and follow-up skills.
- Professional phone and email communication skills.
Additional Qualifications
- Previous experience in operations administration, office administration, dispatch support, billing administration, executive assistant support, or a similar role is preferred.
- Ability to work in a fast-paced environment with changing priorities.
- Comfortable using computers, email, spreadsheets, and business software.
- Construction, waste, trucking, or service industry experience is an asset.
- Ability to work independently and as part of a team.
