Role Summary
The Operations & Administration Coordinator is responsible for the day-to-day administrative and operational functions that support Wafr's executive team and broader business. The role spans executive support, company administration, communications execution, and support for grant and government-facing activity.
The work is varied. One week may centre on travel and conference logistics, the next on assembling a grant package or preparing materials for a government meeting.
This is a hands-on coordination role suited to someone who is highly organized, works well without close supervision, and takes satisfaction in keeping a complex environment on track.
Reports to the CEO. Works closely with senior management.
Key Responsibilities
Executive & Administrative Support
- Coordinate executive scheduling, meetings, travel, conferences, and speaking engagements
- Manage the company's public image and government relations alongside external partners
- Manage the company's administrative processes: issuance, tracking, execution, and filing of agreements
- Process invoices and expenses; manage vendor correspondence
- Maintain company records, trackers, and process documentation
- Support general office operations
Events & Conferences
- Coordinate conference and event participation: registration, travel, logistics, and materials
- Prepare collateral and manage on-site logistics as required
Communications
- Draft, schedule, and publish content for Wafr's LinkedIn presence
- Prepare and post job listings; coordinate scheduling for recruiting activity
- Support media coordination, including scheduling and materials preparation
Grants & Government Support
- Track grant and funding program deadlines and requirements
- Compile and assemble application materials in coordination with technical and management leads
- Support meeting preparation and follow-up for government and stakeholder engagements
- Attend meetings as required; record actions and track them to completion
Qualifications
Required
- Bachelor's degree or equivalent experience
- 1 to 3 years of experience in an administrative, coordination, or operations role
- Exceptional organization, attention to detail, and follow-through
- Strong written communication skills
- Demonstrated ability to manage multiple concurrent priorities independently
- Proficiency with Google Workspace
Preferred
- Experience in an early-stage company or other fast-moving environment
- Exposure to grant applications, government processes, or public affairs
- Interest in cleantech, energy, or infrastructure
- Comfort representing the company in external settings
