Position Summary
As a Contracting Specialist, you will play a key role in supporting QFS advisors and maintaining strong relationships with our carrier partners. This role requires adaptability, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
You’ll be responsible for ensuring smooth and accurate contracting processes, with a particular focus on onboarding QFS advisors through the Apexa platform. You thrive in a role that combines problem-solving, client service, and collaboration.
The ideal candidate is organized, resourceful, and able to remain calm under pressure. You’re confident working both independently and as part of a team, and you take pride in delivering high-quality results that support our advisors and the broader QFS team.
Key Responsibilities
- Lead the onboarding of QFS advisors through the Apexa platform, ensuring all requirements are met, records are accurate, and follow-ups are completed.
- Review, process, and maintain contracting files with accuracy and efficiency.
- Process a variety of contracting functions, including advisor contracting, override rate changes, banking changes, contract updates, terminations, and other related maintenance requests.
- Update and maintain advisor records in internal back-office systems.
- Monitor emails, Apexa, and carrier portals for incoming contracting requests and advisor inquiries.
- Provide timely, professional responses to advisor and carrier inquiries by phone and email.
- Navigate carrier websites to retrieve information and support advisors with contracting-related questions.
- Manage broker transfers into and out of the organization, including verifying and completing block valuations, coordinating with carriers and advisors, and following internal transfer processes to ensure accurate and timely completion.
- Strive for one-call resolution, managing a high volume of inquiries while maintaining service standards.
- Interpret carrier communications, set clear expectations with advisors, and guide them through next steps.
- Negotiate reasonable exceptions with carrier partners where possible and present alternative solutions.
- Conduct regular follow-ups to ensure contracts move forward promptly.
- Collaborate with the Sr. Manager, Senior Leadership, and Business Development team to resolve challenges and remove roadblocks.
- Contribute to special projects and other assignments as required.
Capabilities and Qualifications
- Bilingual (English/French) is required.
- Experience with advisor contracting; knowledge of Apexa is a strong asset.
- Strong organizational skills with the ability to prioritize and re-prioritize in a changing environment.
- Excellent verbal and written communication skills.
- High energy, adaptable, and committed to providing exceptional service.
- Independent and self-motivated, with the ability to work collaboratively as part of a team.
- Proficiency with Microsoft Office Suite.
- High school diploma or equivalent required; post-secondary education an asset.

Pay: $48,000.00-$50,000.00 per year
