The Role
The Project Coordinator is accountable for coordinating and delivering restoration projects from initiation through closeout. This role serves as the primary point of contact for clients while coordinating project schedules, subcontractors, suppliers, documentation and communication to ensure projects are completed safely, efficiently, and in accordance with the client's expectations. The Project Coordinator monitors project progress, identifies issues proactively and works closely with field staff, office administration and ownership to ensure successful project outcomes.
Expected Outcomes:
Emergency response resources are mobilized quickly, efficiently, and with minimal disruption during high-volume and catastrophic events.
· Collaborate with the VP, Corporate Services to coordinate the deployment of restoration teams to support large-scale losses, catastrophic events, and DKI Member locations across Canada.
· Assess staffing, equipment, material, and logistical requirements to ensure teams are mobilized quickly and effectively.
· Coordinate with internal teams, DKI Members, vendors, and external partners to secure the resources required for successful deployment.
· Schedule emergency response services with homeowners, clients, and internal teams during periods of high demand while balancing competing operational priorities.
· Monitor mobilization activities, communicate updates to key stakeholders, and proactively resolve logistical challenges to support timely service delivery.
Client receives proactive communication and remains confident throughout the restoration project.
· Serve as the primary point of contact throughout the project.
· Communicate schedules, milestones and project updates.
· Respond to client questions and coordinate issue resolution.
· Build positive relationships with homeowners, adjusters, and partners.
Project progress efficiently and remain in line with scope, schedule, and customer expectations.
· Coordinate trades, subcontractors and suppliers.
· Schedule inspections and project activities.
· Monitor project milestones and resolve scheduling issues.
· Identify and escalate risks that may impact timelines or customer satisfaction.
· Coordinate change orders and communicate scope adjustments.
Project information and documentation remain accurate and support successful execution.
· Maintain project files and documentation.
· Coordinate approvals, authorizations, and required documentation.
· Ensure project records are current within company systems.
· Coordinate closeout documentation.
Projects support strong financial performance.
· Monitor project budgets and committed costs.
· Coordinate billing documentation and change orders.
· Track project progress against budgets.
· Identify issues affecting profitability and escalate appropriately.
· Support timely invoicing and collections.
Leadership maintains visibility into project progress and emerging issues.
· Maintain accurate project status reports.
· Provide regular updates on project performance.
· Escalate customer concerns, financial risks and operational issues.
· Recommend improvements to project coordination processes.
Skills/Experience Required
· 2-5 years of experience in project coordination, restoration, construction, property management, insurance, or another fast-paced customer service environment.
· Exceptional organizational and time management skills, with the ability to coordinate multiple projects, priorities, and deadlines simultaneously.
· Strong communication and relationship-building skills, with a customer-first approach and the ability to collaborate effectively with clients, trades, subcontractors, and internal teams.
· Excellent problem-solving and critical thinking skills, with the ability to anticipate challenges, adapt to changing priorities and make sound decisions.
· Proficiency with Microsoft Office (Outlook, Word, Excel) and the ability to quickly learn new software and technology; experience with restoration software (e.g. PSA, Encircle, Xactimate) is considered an asset.
· Strong attention to detail and a commitment to maintaining accurate project documentation, schedules and records.
· Valid driver’s license with the ability to travel to job sites as required.
· Post-secondary education in Business, Construction Management, Project Management, or a related field is considered an asset; an equivalent combination of education and experience will also be considered.
