Overview
Express Employment Professionals is recruiting on behalf of a growing industrial manufacturing company that is seeking a highly organized and proactive Office Operations & Logistics Coordinator to support office administration, logistics coordination, customer service, and international shipping operations.
This role is ideal for someone who enjoys managing multiple responsibilities, coordinating moving parts, and ensuring operations run efficiently from order entry to final delivery.
The successful candidate will act as the central connection between customers, sales, production, shipping, and accounting while supporting both domestic and international logistics activities.
This is not a typical administrative role. We are looking for someone who takes ownership, communicates clearly, and thrives in a fast-paced operational environment.
Responsibilities
Office Operations & Customer Service
- Serve as the first point of contact for customer calls and emails
- Respond to customer inquiries regarding orders, shipping, timelines, and documentation
- Maintain professional communication with customers, vendors, and freight carriers
- Support daily office coordination and administrative operations
- Maintain organized digital and physical records and office systems
Order & Operations Coordination
- Create and manage sales orders within the ERP system
- Coordinate with production and shipping teams to ensure accurate and timely order fulfillment
- Track orders and proactively communicate updates
- Prepare pick lists, job sheets, shipping paperwork, and order documentation
- Support smooth coordination between departments
Logistics & International Shipping
- Coordinate domestic and international shipments across multiple countries
- Prepare shipping and export documentation including commercial invoices, customs documents, certificates of origin, and bills of lading
- Work closely with freight carriers and customs brokers
- Monitor shipment schedules and resolve shipping or logistics issues
- Coordinate freight pickups, shipment tracking, and delivery timelines
- Maintain compliance with international shipping and export requirements
Accounting & Administrative Support
- Process invoices, deposits, and customer payments
- Assist with accounts receivable tracking and collections follow-up
- Match vendor invoices to packing slips and purchase documentation
- Support reconciliations and accounting entries
- Assist with reporting and document management
Qualifications
- Minimum 4 years of experience in office operations, logistics coordination, customer service, or administration
- Experience with international shipping and logistics coordination
- Experience in manufacturing, industrial, or technical environments
- Strong organizational and multitasking skills
- Proficiency in Microsoft Excel, Outlook, and Word
- Experience using ERP or order management systems
- Knowledge of QuickBooks or similar accounting software is required
- Excellent communication and problem-solving skills
- Ability to work independently and in a team environment
- Strong attention to detail and ability to manage multiple priorities

- International shipping/documentation: 2 years preferred
- ERP systems: 2 years preferred

Pay: $65,000.00-$70,000.00 per year
