Job Summary:
Reporting to the Manager of Registration Services, the Administrative Assistant provides support to registrants, applicants and members of the public by greeting and providing information and resolving inquiries over the phone, via email and face-to-face, assists with the workflow in the department, receives and processes payments and receives and distributes mail and courier deliveries.
Scope of this position:
- Provides information to applicants/registrants on general registration processes and requirements for all application types and for renewal of a certificate of practice.
- Follows up with applicants/registrants regarding payment issues as needed. Prepares refund requests for approval.
- Processes e-transfers and cheques received recording on finance spreadsheets.
- Receives name-change requests, making necessary changes to registrant records in the database.
- Provides reception services including maintaining a professional front desk and lobby area; greeting and tracking visitors, tracking security access cards and maintaining visitor logbooks.
- Answers and resolves or directs incoming caller/visitor inquiries.
- Processes and distributes mail electronically or in hard copy, handles courier deliveries, troubleshoots delivery issues.
- Maintains Front Desk/Reception process manual.
Education and experience:
- Completion of a Grade 12 diploma with 2 years of post-secondary education (Office Assistant or Administrative Professional Diploma)
- Minimum 2 years of office experience providing complex and confidential administrative support
- Experience with a multi-line switchboard (Wildix switchboard is an asset)
- Experience in customer service with excellent communication skills with an ability to defuse situations with challenging customers in a courteous manner
- Experience with payment processing, proficiency with the Moneris platform is an asset
- Excellent oral and written communication skills
- Ability to work with changing priorities and frequent interruptions
- Ability to assess and take control of situations by being proactive rather than reactive
- Proficiency with MS Office, including Teams, SharePoint and Excel
CONDITIONS OF EMPLOYMENT
- Must be legally entitled to work in Canada
- Must provide a satisfactory criminal record check upon hire
