Reporting to the Accounting Manager, the Accounts Payable Clerk is responsible for supporting the day-to-day financial operations of Arcfield Canada through the accurate and timely processing of accounts payable transactions, financial data, and related administrative activities. The role plays a key part in maintaining the integrity of financial records, ensuring compliance with company policies and procedures, and supporting month-end and reporting activities. The Accounts Payable Clerk works collaboratively with internal stakeholders, vendors, and members of the Finance team to process invoices, reconcile accounts, administer expense reporting activities, and support the efficient operation of the accounts payable function.
Areas of Responsibility:
Accounts Payable Processing
- Process accounts payable transactions, including purchase order (PO) invoices, non-purchase order invoices, employee expense reports, travel claims, and corporate credit card expenses.
- Review invoices and supporting documentation to ensure accuracy, completeness, and compliance with company policies and procedures.
- Code and enter invoices into the accounting system in a timely and accurate manner.
- Follow up with internal stakeholders and vendors to obtain missing information, resolve discrepancies, and address payment-related inquiries.
- Assist with the preparation and processing of cheque runs and electronic payments.
Financial Administration
- Perform cash receipt and cash entry processing activities.
- Assist with account reconciliations and investigate discrepancies as required.
- Prepare and process routine journal entries and other financial data entry activities.
- Support GST calculations, remittances, and related documentation requirements.
- Provide invoice and billing support as required.
Payroll and Reporting Support
- Review and process employee timesheets to ensure accuracy and compliance with company requirements.
- Assist with the preparation of reports and other financial documentation as required.
Administrative Support
- Maintain electronic and physical financial records in accordance with company record retention requirements.
- Perform filing, document management, and other administrative duties in support of the Finance department.
- Provide backup support to other Finance team members as required.
Other Duties
- Participate in special projects and process improvement initiatives as assigned.
- Perform other related duties as required
Qualifications and Requirements:
- High school diploma or equivalent.
- Minimum 3-5 years of experience in accounts payable, accounting support, or a related finance function.
- Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
- High level of accuracy and attention to detail.
- Effective verbal and written communication skills.
- Strong interpersonal skills with the ability to build and maintain positive working relationships with employees, vendors, and other stakeholders.
- Demonstrated ability to work effectively both independently and as part of a team.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel. and written communication skills
Preferred Qualifications and Requirements:
- Aerospace or other regulated purchasing and/or knowledge of the transport industry (air/rail/ship/etc.)
- Worked with Accounting and/or Contracts departments.
- Accounting diploma
- Prior experience in purchase order entries
