As we continue to expand our operations, we are seeking a highly capable Executive Assistant to support leadership in day-to-day operations, compliance, and organizational growth.
Role Overview
- The Executive Assistant will provide high-level administrative, operational, and coordination
- support to Judahcare’s Executive Team. This role is central to maintaining organizational
- efficiency, compliance, and communication across multiple program areas, including residential
- care.
- Operating in a fully remote environment, the successful candidate will be highly organized, tech-
- savvy, and detail-oriented, with the ability to manage sensitive information securely and support
- leadership across a range of operational functions.
Scope of Responsibilities
1. Executive & Administrative Support
- Manage complex calendars, scheduling, and meeting coordination across multiple
- priorities
- Act as a primary liaison between leadership, staff, and external partners
- Prepare agendas, reports, correspondence, and briefing materials
- Support inbox management, prioritization, and follow-ups

2. Operations & Organizational Support
- Support day-to-day operations across residential and community-based programs Assist with tracking tasks, timelines, and organizational priorities
- Develop and maintain scheduling, reporting, and operational document Support executive leadership in organizational planning and scaling efforts
- Assist in implementing systems and processes to improve efficiency
3. Payroll & Administrative Coordination
- Support payroll preparation by tracking hours, verifying submissions, and organizing documentation
- Coordinate with leadership to ensure payroll timelines and data accuracy
- Maintain organized payroll records and assist with issue tracking or follow-up
4. Compliance & Documentation Management
- Track staff credentials, certifications, and renewal timelines (e.g., CPR, CPI, driver’s
- documentation)
- Maintain compliance logs and ensure timely follow-up on expiries
- Support documentation processes aligned with regulatory and licensing requirements
- Assist in preparing and organizing materials for audits, reviews, and licensing activities
5. Staff Communication & Coordination
- Draft and distribute internal communications (e.g., announcements, scheduling updates,
- reminders)
- Support coordination between staff and leadership across multiple sites
- Assist in ensuring consistency in communication and operational expectations

6. Data Awareness & Security-Conscious Practices
- Review communications for potential risks (e.g., phishing, suspicious requests,
- unauthorized access attempts)
- Support secure handling of sensitive organizational and client information
- Maintain organized, access-controlled digital filing systems
- Assist with basic user access and document permission management
- Promote the use of secure tools and responsible data handling practices
Qualifications & Skills
- Experience: 2–4+ years in an Executive Assistant, Operations, or Administrative
- coordination role
- Tech Proficiency: Strong working knowledge of Microsoft 365, Google Workspace,
- Teams/Slack, and cloud-based systems
- Operational Awareness: Experience supporting payroll coordination, compliance
- tracking, or multi-site operations is an asset
- Digital Awareness: Familiarity with basic data protection practices (e.g., identifying
- phishing, secure file handling)
- Organization: Strong ability to manage competing priorities in a fast-paced environment
- Communication: Clear, professional written and verbal communication skills
- Discretion: Proven ability to manage confidential and sensitive information
Compensation & Schedule
- Hours: Approximately 20–25 hours per week
Flexibility required to support operational needs and occasional priority matters
Pay: $25.00 per hour
Education:
- Bachelor's Degree (preferred)
