Position Description
We currently have an exciting role for a Office Administrator based out of our Kingston, ON location. This position will be working with our Kingston, Belleville and Trenton Offices and be responsible for Office Admin, Accounts Payable, Accounts Receivable, Dispatch and Customer Service.
Position Responsibilities
- Manage daily office administrative tasks, including filing, data entry, document preparation, and maintaining organized records for operations and compliance.
- Coordinate dispatching of waste collection crews, ensuring routes are assigned efficiently and adjusting schedules in response to service delays, customer needs, or equipment issues.
- Monitor route progress in real time, communicating with drivers to resolve issues such as missed pickups, traffic delays, or access challenges.
- Serve as the primary point of contact for customers, handling inbound calls, emails, and service requests with professionalism and timely follow‑through.
- Process customer work orders, including new service setup, cancellations, bin deliveries, bin swaps, and special pickups.
- Generate and send customer invoices, ensuring accurate billing for scheduled pickups, container rentals, disposal fees, and special services.
- Manage accounts receivable tasks, including recording payments, conducting follow‑ups on overdue accounts, and supporting monthly AR reporting.
- Handle accounts payable, verifying vendor invoices, reconciling statements, and preparing payments for approval in accordance with company policies.
- Maintain accurate customer, route, and billing information within the dispatch or waste‑management software system.
- Coordinate with operations and drivers to communicate customer concerns, service changes, safety notes, or access instructions.
- Assist with compliance‑related documentation, such as route logs, weight tickets, disposal manifests, and environmental or municipal reporting requirements.
- Support management with administrative reports, including dispatch summaries, route efficiency updates, financial tracking, and customer service metrics.
