Summary
We are seeking a highly organized and detail-oriented Operations Coordinator to support the daily operations of our oil reclamation facility. This role is responsible for coordinating customer orders, inventory management, logistics, purchasing, production support, and regulatory tracking across multiple operating systems.
The successful candidate will play a key role in ensuring orders are processed accurately, inventory levels are maintained, trucks are scheduled efficiently, and customer needs are met in a fast-paced environment.
Key Responsibilities:
- Create and process customer orders, returns, quotes, and price confirmations using Sage, Navusoft, and the Pickup System.
- Verify inventory availability in Sage and maintain accurate inventory records through Perpetual Inventory.
- Create production batch sheets and update inventory transactions to support manufacturing activities.
- Coordinate customer pickups and deliveries, schedule trucks, and manage shipping runs using Navusoft, the Order Status Report, and the Pickup System.
- Prepare shipping documents, packing slips, and driver paperwork.
- Process invoicing in Sage and Navusoft, ensuring pricing accuracy and inventory adjustments are properly reflected.
- Purchase raw materials, obtain pricing from suppliers, and coordinate material availability for production requirements.
- Track and maintain operational records including Chemtainers (MS Works), Manifest Pickups, Exempt Manifest Pickups, Fuel Tracking, and IFTA mileage reporting.
- Record and report sales activity through the KPI reporting system.
- Assist with Ministry of Environment reporting by maintaining accurate operational and volume-tracking spreadsheets.
- Coordinate service schedules with U.S.-based customers and prepare customs and border-crossing documentation for cross-border shipments.
- Respond to customer inquiries and provide supporting documentation, including insurance certificates and service-related information.
- Maintain accurate records across multiple systems and provide general operational and administrative support as required.

Qualifications:
- Strong proficiency with Microsoft Excel, Microsoft Office, and database-driven systems.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Strong communication and customer service skills.
- Ability to quickly learn and navigate multiple software platforms.
Assets:
- Experience in logistics, dispatching, transportation, or operations coordination.
- Inventory management and purchasing experience.
- Experience with customs documentation and cross-border shipments.
- Knowledge of waste manifesting, environmental services, or regulatory reporting.
- Experience working with ERP, inventory management, or operational software systems.
