The Scleroderma Society is a part of a national non-profit organization committed to supporting individuals affected by scleroderma through education, advocacy, and research. We work to raise awareness, fund innovative research, and foster a supportive community for patients and their families across the country.
Position Summary:
The Scleroderma Society of Ontario is seeking a detail-oriented and motivated Administrative Assistant to join our team for an 8-week summer student position. This role offers a hands-on opportunity to gain experience in event planning, fundraising, and non-profit operations while making a meaningful impact in the scleroderma community.
Under the supervision of the Fund Development Specialist, the person in this position will work on:
· Fundraising Wrap-Up: Assist with the administrative and communication wrap-up for a month-long national fundraising campaign, including donor acknowledgment, data entry, and reporting.
· Event Support – Golf Tournament: Support the planning and coordination of an upcoming fundraising golf tournament by assisting with logistics, sponsor outreach, participant communication, and materials preparation.
· Conference Planning: Contribute to the early planning stages of an upcoming national scleroderma conference by helping with venue research, scheduling, outreach, and documentation.
· Monthly Mixer Program: Help design and coordinate a new monthly mixer initiative aimed at community engagement and education, including brainstorming topics, reaching out to speakers, and supporting event logistics.
· General Administrative Support: Provide additional administrative support as needed, such as maintaining calendars, preparing documents, taking meeting notes, and other tasks to support organizational operations.
Skills and Experience
· Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
· Excellent writing and editing skills - proofreading and attention to details
· Event planning and/or coordination skills
· Comfortable using Canva for graphic design
· Strong verbal communication skills
· Exceptional organizational abilities, time management skills with an ability to meet deadlines, multitask and prioritize assigned duties
· Knowledgeable in WIX website management – content, updates, linkage etc.
· Social Media experience

LOCATION & HOURS
41 King William St. Suite 203, Hamilton, ON (located above The Mule)
Typical Hours - Monday to Friday – 9:00am – 5:00pm (some flexibility required – evenings & weekends)
