Job Summary
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support our executive team. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency in various administrative tools. This role involves managing schedules, handling correspondence, and ensuring smooth daily operations within a professional office environment. This role requires book keeping and organization.
Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace
- Coordinate meetings, appointments, and travel arrangements with attention to detail
- Handle incoming calls using multi-line phone systems with professional phone etiquette
- Prepare, proofread, and edit documents, reports, and correspondence for accuracy and clarity
- Perform data entry, filing, and record keeping using Microsoft Office applications and DocuSign
- Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping functions
- Provide exceptional customer service to internal and external stakeholders
- Support front desk operations including greeting visitors and managing office supplies
- Organize files both electronically and physically to ensure easy retrieval of information
- Manage incoming and outgoing mail, emails, and other communications efficiently
Qualifications
- Proven experience in an administrative or clerical role within an office setting
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks, DocuSign, and multi-line phone systems is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and data entry skills with high accuracy
- Exceptional proofreading skills for editing documents and correspondence
- Demonstrated customer service skills with professional phone etiquette
- Ability to handle confidential information discreetly
- Office experience combined with strong organizational and multitasking abilities is essential
Job Type: Part-time
Pay: $17.85-$38.54 per hour
