We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and communication skills, with experience in supervising staff and managing office systems. Duties
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professional phone etiquette
- Oversee administrative tasks such as filing, data entry, and maintaining organized records
- Supervise office staff and coordinate team management activities to ensure productivity and adherence to company policies
- Handle human resources functions including onboarding, training & development, and employee record keeping
- Manage bookkeeping responsibilities using QuickBooks, including payroll processing and budget tracking
- Coordinate vendor management activities, including ordering supplies and maintaining supplier relationships
- Assist with budgeting processes and financial reporting to support management decision-making
- Ensure compliance with company procedures and assist in developing office policies for efficiency
- Support special projects related to office organization, process improvements, or team development
Skills
- Proven supervising experience with the ability to lead and motivate team members
- Proficiency in QuickBooks for payroll, bookkeeping, and financial management
- Strong front desk presence with excellent communication skills and phone etiquette
- Experience in human resources functions such as onboarding, training & development, and employee relations
- Solid office experience including clerical tasks like filing, data entry, and document management
- Exceptional organizational skills with the ability to manage multiple priorities effectively
- Knowledge of vendor management processes and multi-line phone systems
- Ability to handle budgeting tasks accurately and efficiently
- Excellent interpersonal skills for team management and client interactions
- Detail-oriented with strong written and verbal communication abilities
