Coverdale will be operating Coverdale Restorative Justice, an extension of Coverdale Justice Society that provides the Nova Scotia Restorative Justice Program (NSRJP) for youth and adults within the Halifax region.
About the Opportunity
Reporting to the Director, Coverdale Restorative Justice, and working in close collaboration with the Office Manager, the Office Administrator provides administrative and logistical support to the restorative justice team, helping to maintain smooth office operations and support the effective, efficient, and principles-based delivery of the Nova Scotia Restorative Justice Program. Key responsibilities include physical and electronic file management, administrative support related to restorative justice processes and casework, and general office coordination . The Office Administrator supports existing office procedures and brings any issues or improvement ideas to the Office Manager for consideration.

Core Duties and Responsibilities
General Office Administratior
● Welcomes all guests as the first point of contact for participants, partners, and members of the public attending the office in person.
● Responds to general inquiries on behalf of Coverdale Restorative Justice, both inperson and over the phone.
● Screens and directs phone calls and distributes correspondence.
● Assists the Office Manager with overall upkeep of the office space, includingmanagement of office furniture, supplies, and equipment, supporting facilities upkeep,maintenance of filing systems, and arrangement of repairs of office equipment.
● Supports scheduling, correspondence, and meeting logistics.
● Maintains organized records and confidential documentation systems. .
● Provides administrative and other support to the Restorative Justice Team as needed.
● Assists with the maintenance of internal tracking and management systems.
● Carries out daily administrative and clerical tasks.NSRJP Support
● Enters and closes all referrals in the case management database, ensuring provincial standards regarding data entry and case notes are upheld.
● Sends key documentation to referral partners in regards to participant Restorative Justice Processes.
● Provides administrative support to the casework team to ensure timely and efficient case management, including by coordinating calendar reminders for the casework team related to key RJ process milestones, overseeing scheduling and booking of meetings and meeting spaces (both on site and at external organizations), and arranging and sending written correspondence.
● Assists with physical file management for all NSRJP referrals, including preparing physical files once referrals are received, ensuring files are properly maintained over the course of a restorative justice process.
● Assists the Office Manager in preparing monthly NSRJP referral reports by compiling data and ensuring accuracy.
● Supports restitution payments and payouts, in collaboration with the casework team.
● Provides administrative support related to expense tracking, receipt organization,financial documentation, and audit preparation.Education, Experience, Knowledge, and Competencies
● Post-secondary training in a relevant field, or an equivalent combination of educationand experience, including professional, volunteer, and lived experience.
● Minimum 2 years of experience in an administrative role or performing administrativeduties.
● Exceptional organizational skills, attention to detail, and ability to identify and implementprocess improvements.
● Excellent interpersonal and communication skills, as well as proven success in apublic-facing role.
● Demonstrates skills in Trauma Informed Communication and fostering welcomingenvironments.
● Experience working or volunteering in a non-profit or other community-based setting.Employment and Working Conditions
