The Role: This role provides senior-level administrative and operational support to the SVP, Associate General Counsel, while also supporting the coordination and administration of litigation matters. It combines executive support with hands-on litigation coordination, acting as a key partner in ensuring matters are organized, progressing, and well managed.
The successful candidate will work in a fast-paced environment with competing priorities and time sensitive deadlines. They will exercise sound judgment and discretion while supporting the SVP and Senior Legal Counsel in managing priorities and keeping litigation matters moving forward.
This role includes advanced, highly confidential administrative and coordination responsibilities, along with accountability for managing the flow of litigation-related activities. It requires strong organizational and communication skills, and the ability to work closely with internal stakeholders and external counsel
KEY RESPONSIBILITIES Executive & Administrative Support:
- Provide confidential, senior-level administrative support to the SVP, Associate General Counsel, including managing correspondence, files and supporting inbox coordination as required
- Proactively manage a complex and high-volume calendar, including prioritization, rescheduling, and coordination of internal and external meetings (in-person and virtual), ensuring logistics and materials are well organized
- Coordinate travel arrangements and prepare expense reports, ensuring accuracy and timeliness
- Prepare presentations, reports, and meeting materials, and track deliverables, follow-ups, and action items to support eAective time management and priorities
- Support other members of the Legal team, as required, including file management and administrative support across non-litigation matters, ensuring materials are organized and well managed
Litigation Coordination & Administration:
- Coordinate all administrative aspects of litigation matters in partnership with Senior Legal Counsel
- Act as a key point of contact for internal stakeholders and external counsel
- Receive and process Statements of Claim, including internal notification and coordination
- Collect and organize relevant documents and information from internal departments
- Prepare and maintain file summaries and documentation
- Coordinate with external counsel on updates, documentation, and timelines
- Support settlement processing, documentation, and payment coordination
- Oversee and maintain the structure, organization, and integrity of litigation records within the SharePoint site, ensuring materials are accurate, complete, accessible, and aligned with consistent document management standards
- Support governance tracking and reporting processes, including coordinating inputs and preparing materials
Qualifications:
- 5+ years of experience in a legal assistant or law clerk role, with exposure to litigation
- Strong organizational skills, with the ability to manage multiple competing priorities and deadlines
- Experience supporting senior leaders (VP/SVP level) is an asset, with the ability to work eAectively across teams and stakeholders
- Strong written and verbal communication skills
- High level of professionalism and ability to handle confidential information with discretion
- Strong attention to detail and follow-through
- Proficiency in Microsoft OAice (Outlook, Word, PowerPoint, Teams); experience with SharePoint required
- Ability to work independently and collaboratively in a fast-paced environment
The expected annual base salary range for this role is $65,000 - $85,000, which is determined based on skills, knowledge and experience and geographic location. In addition to base salary, this role is eligible for annual short-term incentive, health and well-being benefits, retirement and savings plan, paid time off and career development.
