Job Summary
We are seeking a highly organized, proactive, and exceptionally articulate HCA Team Lead & Scheduler who holds an active Health Care Aide (HCA) certificate or Licensed Practical Nurse (LPN) designation.
This role is primarily office-based and serves as our operational backbone. This position will launch on a part-time basis with a flexible schedule, with the expectation to rapidly scale into a full-time role within 3 to 4 months as operations expand.
You will balance complex client scheduling, AxisCare management, and QuickBooks bookkeeping. Because service continuity is critical to our premium care standards, this role also requires handling occasional, urgent off-hours phone inquiries from field staff to resolve scheduling emergencies or last-minute call-outs.
Key Responsibilities
Master Scheduling & On-Call Logistics (Primary Focus)
- Logistics & Scheduling: Build, optimize, and manage complex staff schedules using AxisCare to ensure flawless client coverage.
- Shift Optimization: Proactively manage daily shift adjustments, open visits, and urgent scheduling changes with speed and precision.
- Off-Hours Continuity: Answer and resolve urgent off-hours phone calls from Health Care Aides (HCAs) regarding scheduling emergencies, client updates, or call-outs to ensure no service gaps.
- Communication Liaison: Serve as the primary administrative point of contact for families and field staff, ensuring clear, polite, and immediate communication.
Office Administration & Bookkeeping
- Financial Admin: Assist with basic bookkeeping, payroll preparation, and invoice tracking utilizing QuickBooks.
- HR & Compliance Support: Help facilitate smooth staff onboarding, maintain accurate personnel files, and ensure all field staff meet compliance requirements.
- Clinical Insight: Utilize your HCA/LPN background to ensure accurate caregiver-client compatibility and provide leadership to the field team.
Requirements
- Credentials: Active Health Care Aide (HCA) certification or Licensed Practical Nurse (LPN) license in Alberta is preferred.
- Availability & Growth: Must be comfortable starting part-time with a flexible schedule, with the full availability and intent to transition into a permanent full-time position within 3–4 months.
- Off-Hours Reliability: Able and willing to monitor/answer the phone during designated off-hours for urgent field staff inquiries.
- Communication: Exceptional verbal and written English communication skills; a polished, professional phone manner is a strict requirement.
- Technical Proficiency: Hands-on experience with QuickBooks for basic bookkeeping/payroll is preferred.
- Logistics/Admin Experience: Proven track record in scheduling coordination, office administration, or managing complex logistics.
