Position Summary
The Sales Executive Assistant provides high-level administrative and operational support to the VP of Sales and broader sales leadership team within a fast-paced traffic control organization. This role plays a critical part in supporting sales execution, coordinating internal processes, and ensuring the team operates efficiently. The ideal candidate is highly organized, proactive, and thrives in a dynamic, sales-driven environment.
Sales & Administrative Support

Manage calendars, coordinate meetings, and support travel for sales leadership

Assist in preparing sales reports, presentations, proposals, and client-facing materials

Track sales activities, pipelines, and key performance metrics

Support CRM management (e.g., lead tracking, data accuracy, reporting)

Serve as a central point of contact between sales, estimating, operations, and leadership
Sales Operations & Coordination

Coordinate incoming leads and distribute to appropriate sales team members

Track new business wins, client onboarding, and first-job bookings

Assist in managing pricing initiatives and moving estimates from operations to sales

Maintain and update sales tracking documents and dashboards

Help organize sales meetings, regional calls, and team initiatives
Communication & Project Support

Draft internal and external communications on behalf of sales leadership

Ensure follow-ups on key sales initiatives, bids, and client opportunities

Support onboarding of new clients and integration of new offices/acquisitions

Assist with contests, incentives, and sales engagement programs

Maintain organizational charts, territory assignments, and client lists

3+ years experience in an Executive Assistant, Sales Coordinator, or similar role

Strong organizational and multitasking skills with high attention to detail

Experience supporting a sales team or working in a sales-driven environment preferred

Proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and CRM systems

Excellent communication skills (written and verbal)

Ability to work independently and manage multiple priorities in a fast-paced environment
