Why this Role is Important
Reporting to the Director, Academic Operations, the Manager, Academic Support & Scheduling plays a key role in advancing the academic well-being and strategic growth of the College. The Manager provides leadership in academic space planning by ensuring the effective, efficient, and responsible allocation and scheduling of academic spaces. Through data-informed space modeling simulations and close coordination with stakeholders, the Manager optimizes resource use to meet the space and scheduling needs of the College. The Manager also oversees a scheduling team and leads collaborative initiatives that strengthen and enhance Academic Services.
How You’ll Make an Impact
Scheduling Operations
Develops and delivers space‑modelling simulations in collaboration with stakeholders to optimize resource use and meet the College’s space and scheduling needs
Facilitates high-level planning regarding academic space requirements with college stakeholders
Collaborates with Facilities and Information Technology Services to align space supply with demand, and when misalignment occurs, identifies and communicates viable solutions supported by room‑utilization metrics, student heat‑map data, and other analytical information
Initiates and conducts evidence-based research including simulations regarding scheduling and academic space planning
Performs extensive modeling simulations to:
provide impact analysis of space requirements for new program development
provide and negotiate space programming and academic planning of proposed facility capital acquisitions/property including the establishment of alternatives and scenario validation
determine cause and effect analysis of Academic Operating Plans resulting from capital requests
Analyzes various factors and parameters and their impact to space, quality of timetables, etc. and provides recommendations
Leads and coordinates academic projects and space initiatives that impact space, timetabling and service delivery
Monitors and reports on ongoing impact of the implementation of new and/or changing delivery models on academic space and scheduling
Supports and engages in analysis of various projects as requested by Senior Leadership and cross-functional teams
Provides regular statistical analysis and reporting on academic space utilization, timetabling issues, timetabling simulations, and policy matters
Ensures communication plans are developed and implemented for any initiatives related to scheduling and/or academic space planning to ensure alignment in processes
Establishes critical dates for examination and timetabling processes to align with deadlines established by the Office of the Registrar and College Council
Hires, motivates, evaluates, trains and maintains a high level of performance through effective recruitment, selection and development of staff within the department
Academic Support
As part of the Academic Operations team, the Manager is accountable and responsible for provision of support towards the achievement of objectives and targets within Academic Services, including the following:
Works with Academic areas to ensure teaching hour projections are accurately reflected in the budget system
Leads program/activity costing and analysis to inform Academic Operations
Calculates annual detailed tuition rates in consultation with Finance and others as necessary ensuring compliance with MCURES policies
Supports the costing of new program proposals with program teams, Operations Managers, Deans, Associate Deans and Centre for Teaching and Learning
Provides confidential, data-informed strategic analysis, reporting, and advice to Deans, Directors, and the Senior Vice-President Academic on matters such as academic programming, enrolment, complement positions, and SWF assessments
Creates and maintains all new and existing official College program numbers/records on corporate system database and communicates necessary program information to appropriate areas
Assists in the communication and maintenance of program and/or intake suspensions
What You'll Bring
Post-secondary 3 year diploma/degree in business, finance, accounting is preferred; related fields may also be considered
Minimum 7 years’ of related and progressively responsible work experience
An equivalent combination of education and experience may be considered
Demonstrated experience using academic scheduling software; familiarity with Fanshawe‑specific scheduling processes and data collection platforms is preferred
Experience leading, motivating, and collaborating with work teams
Advanced computer proficiency and strong analytical abilities
Demonstrated skills in problem‑solving, decision‑making, and organizational planning
Knowledge of college planning, budgeting, and timetabling systems
Project management experience preferred
Excellent group facilitation and collaboration abilities
High attention to detail and accuracy
