Job Summary
The Accounting Clerk (Maternity Leave) role at The International Centre encompasses both payables and receivables accounting duties. You are joining a small Accounting Team, where your focus is on the processing and administration of deposits, retail sales, receivables, and payables. Your role interacts with a cross-section of internal departments (Sales, Events Management, Event Operations, and Food & Beverage Team Members) and external (customers, suppliers, and service providers) stakeholders.
Duties and Responsibilities
- Ensure all event/license agreements are processed accurately and on a timely basis, specifically, invoices relating to license/event agreements are billed in accordance with the agreements and follow up on payments.
- Review all clients’ invoices to ensure all products and services included on the consumption reports and event orders are billed accordingly.
- Review all Point of Sale z-tapes for retail food and beverage sales ensuring accuracy as well as verify all sales are accounted for.
- Prepare summary schedules by event by day for retail and banquet sales and post into the accounting system.
- Review and post daily cash receipts into the accounting system and reconcile cash and credit card payments for daily batching.
- Prepare accounts receivable reports for management reporting.
- Prepare and send statements to clients for outstanding receivables and follow up on payments of outstanding balances.
- Perform credit checks for clients seeking credit based on references provided.
- Review third party suppliers’ reports (as assigned re: Showtech, Freeman, Newer Technologies, Carraway etc.) for accuracy and reasonableness and record the same into the accounting system. Keep Excel spreadsheets updated for third party suppliers’ sales and commissions.
- Prepare and input month end journal entries as required.
- Account analysis and reconciliations, as required including keeping Excel spreadsheet updated for F & B and Operations capital expenditures.
- Assist with the Accounts Payable functions as assigned and when required including reviewing and booking purchases made through the company’s CIBC VISA cards.
- Other projects as required.
Job Specifications and Qualifications
- Minimum two (2) years experience in an accounting department within the hospitality industry (food & beverage, hotels, retail, events, etc.)
- Completion of a diploma or certificate in business or accounting; supplemented by at least two years of demonstrated experience in accounts receivable.
- Experience with Yardi Breeze and Momentus (Ungerboeck/EBMS) software and/or similar property event management programs is a definite asset.
- Must possess excellent computer, organizational and communication skills, as well as the ability to work in a team environment.
