In this role, you will play a key part in shaping the employee experience within a leading design studio, supporting the systems, processes, and moments that enable our most meaningful work.
We are currently seeking an HR Coordinator to join our dynamic, supportive, and collaborative Human Resources team. This role is ideal for someone who is eager to grow their HR career while contributing to a high-performing creative environment.
The successful candidate is highly organized, detail-oriented, and an effective communicator, with strong time management and multitasking abilities. You are comfortable working in a fast-paced environment, thrive in a team setting, and understand the importance of confidentiality and professionalism. Proficiency in MS Office applications (Word, Excel, Outlook) and collaboration tools such as Zoom and MS Teams is required.
As a key member of the HR team, you will report to the HR Manager and collaborate closely with colleagues across the studio. You will receive guidance and support as you are introduced to the role, systems, and responsibilities, while also being encouraged to develop your skills and grow within the position.
This is an office-based role at Hariri Pontarini Architects’ Toronto studio, working Monday to Friday, 9:00 a.m. to 6:00 p.m. EST

Human Resources Coordinator responsibilities:
- Assist with recruitment efforts, including posting roles, scheduling interviews, conducting HR screens and managing candidate communications.
- Support onboarding processes by preparing new hire documentation, conducting orientations, and ensuring smooth integration into the company
- Assist with reconciling employee timesheets for accurate hour and vacation entries
- Assist with HR-related administrative tasks, such as organizing documents and preparing reports through the HRIS system.
- Coordinate and schedule in-house training programs
- Facilitate onboarding and offboarding processes, including administrative support for employee departures
- Track/monitor performance review responses
- Initiate and coordinate social and employee engagement activities to help foster a strong culture of belonging and engagement
- Update and maintain HR records and systems regularly to ensure accuracy
- Participate in and support DEIB (Diversity, Equity, Inclusion & Belonging) initiatives in collaboration with committee members
- Participate in and support Joint Health and Safety Committee (JHSC) initiatives in collaboration with committee members
To help you in achieving your objectives you will have:
- Degree or diploma in Human Resources, Business Administration, or a related field
- 2–3 years of experience in HR support roles, with a solid understanding of HR practices and processes
- Experience supporting core HR functions, including recruitment, onboarding, employee records management, and general HR administration
- Proficiency in HRIS systems, Mac iOS, Microsoft Office (Word, Excel, Outlook), and standard office equipment
- Basic understanding of employment legislation, including the Ontario Employment Standards Act (ESA)
- Experience working in a professional services environment is considered an asset
- Strong ability to remain organized and effective in a fast-paced environment with frequent interruption
