Position Overview
We are seeking an experienced, detail-oriented Part-Time Bookkeeper to manage the financial operations of our commercial realty office. The ideal candidate will possess a strong background in real estate accounting, a thorough understanding of trust account compliance, and a high level of proficiency in accounting software.
Key Responsibilities
- Trust Account Management: Oversee the weekly and monthly management, tracking, and reconciliation of the General Trust Account and Commission Trust Account in strict accordance with provincial regulatory standards (RECO).
- Trade & Deal Reconciliation: Process, review, and reconcile financial documentation for commercial real estate trades, ensuring accurate commission calculations, splits, and payouts.
- Expense Management: Track, record, and reconcile corporate expenses, accounts payable, and accounts receivable on a weekly and monthly basis.
- Financial Reporting: Prepare accurate monthly financial reports, bank reconciliations, HST & Tax remittance, prepare monthly, quarterly, and year-end reconciliations with oversight by an external accounting firm. and trial balances for management review.
- Payroll: Calculate & prepare payroll for salaried employees and commission cheques for independent contractors.
- Compliance & Audit Support: Maintain organized, audit-ready financial records and assist with year-end reporting or regulatory filings as required.
Qualifications & Skills
- Experience: 3+ years of bookkeeping experience, with a strong preference for candidates who have worked within a real estate brokerage or property management environment.
- Software Proficiency: Advanced proficiency in MS365, QuickBooks (Online or Desktop) or equivalent specialized real estate accounting software (e.g., Yardi, Lone Wolf).
- Industry Knowledge: Solid understanding of real estate transaction structures, commission payouts, and trust fund regulations.
- Attributes: Exceptional attention to detail, strong analytical skills, absolute discretion with confidential financial data, and the ability to work independently to meet weekly/monthly deadlines.
- Education: Diploma or degree in Accounting, Finance, or a related field is an asset.
