Job Title: Bookkeeper
Reports to: Chief Executive Officer of Naachesneh Development Corporation (NDC) and Manager of Shell Gas Station (1419600 BC Ltd.)
Location: NDC office located at Naache Commons, 10421 116 St., Fort St. John, BC
Effective Date: Immediately
Position Summary:
The Bookkeeper is responsible for maintaining accurate financial records and providing comprehensive office administration support for both NDC and the Shell Gas Station, together on a full-time basis. This role requires strong proficiency in QuickBooks Online, hands-on bookkeeping experience, and the ability to independently manage day-to-day office operations. The position ensures financial accuracy, regulatory compliance, and efficient administrative workflows across both business entities.
Key Responsibilities:
1. Accounting System & Financial Operations (Both Entities)
- Maintain complete and accurate bookkeeping records using QuickBooks Online.
- Record daily, weekly, and monthly financial transactions including sales, expenses, and journal entries.
- Maintain general ledger accounts and ensure proper account classification.
- Prepare monthly financial reports for management review.
- Support year-end processes and work with external accountants as required.
2. Banking, Reconciliation and Statutory Filings (Both Entities)
· Perform monthly bank and credit card reconciliations.
· Review statements for discrepancies and resolve issues promptly.
· Maintain organized digital and physical financial records.
· Prepare GST/HST filings and support other statutory reporting as required.
3. Office Administration & Management (Both Entities)
· Manage general office operations, supplies, and vendor relationships.
· Maintain organized filing systems (financial, administrative, and project files).
· Handle correspondence, scheduling, and document preparation.
· Support management with administrative tasks and reporting.
· Coordinate with contractors, suppliers, and service providers as needed.
4. Compliance & Controls (Both Entities)
- Ensure all financial transactions comply with company policies and applicable regulations.
- Maintain confidentiality and integrity of financial and business information.
- Support internal controls and process improvements across both businesses.
5. Entity-Specific Bookkeeping
a. Shell Gas Station
- Record and reconcile daily fuel sales, in-store sales, and merchant transactions.
- Reconcile cash, debit, and credit card receipts.
- Track fuel inventory, pricing adjustments, and supplier invoices.
- Monitor margins, sales trends, and variances.
- Ensure proper documentation and controls over cash handling.
b. NDC
- Manage accounts payable and accounts receivable.
- Track project-related costs, budgets, and expenditures.
- Prepare invoices and follow up on collections.
- Maintain organized financial records for multiple projects or entities.
Qualifications:
1. Education & Experience
- Minimum 5 years of bookkeeping and office administration experience.
- Diploma in Accounting, Business Administration, or a related field preferred.
- Proven experience using QuickBooks Online is required.
- Experience bookkeeping for retail operations (gas station or similar) is an asset.
- Experience supporting construction or development projects is an asset.
2. Skills & Knowledge
- Strong understanding of bookkeeping principles, reconciliations, and financial reporting.
- Excellent organizational and time-management skills.
- High attention to detail and accuracy.
- Ability to work independently and manage multiple priorities.
- Strong communication skills and professional discretion.
- Proficiency with Microsoft Office and cloud-based systems.
3. Working Conditions
- Full-time position.
- Occasional overtime may be required during month-end or year-end periods.
- Role requires handling confidential financial and business information.
