Job Summary
We are seeking a professional and organized Receptionist / Administrative Assistant to support our busy Surrey office. This role is ideal for someone who enjoys balancing front-desk responsibilities with administrative support and thrives in a fast-paced professional environment.
Reporting to the Business Group Manager, you will play a key role in ensuring the smooth day-to-day operation of the office while delivering exceptional service to clients, visitors, and internal stakeholders.
Key Responsibilities
Administrative Support
- Prepare proposals, reports, correspondence, and other documents using Microsoft Office.
- Coordinate proposal submissions, formatting, proofreading, and stakeholder communication.
- Create and maintain project records and project numbers.
- Submit inspection reports and follow up with municipalities as required.
- Maintain accurate records and databases.
- Purchase and manage office supplies and equipment.
- Support month-end administrative activities and reporting.
- Provide general administrative assistance to management and project teams.
- Coordinate with administrative staff across multiple office locations.
- Assist with office equipment issues and vendor coordination.
Reception & Front Desk Support
- Answer and direct incoming phone calls professionally.
- Welcome clients, visitors, and suppliers.
- Respond to general inquiries and provide accurate information.
- Coordinate incoming and outgoing mail and courier services.
- Process daily deposits, EFTs, and credit card payments.
- Provide reception coverage and support for other office locations when required.
Qualifications
- High School Diploma required; post-secondary education in Business Administration, Office Administration, or a related field is preferred.
- 1–3 years of administrative or office support experience.
- Strong proficiency with Microsoft Office 365.
- Experience with Adobe InDesign and Gantt Charts is considered an asset.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Exceptional verbal and written communication skills.
- Ability to prioritize competing deadlines and work effectively under pressure.
- Professional, customer-service-oriented attitude.
