Position Overview
We are seeking a detail-oriented Accounts Receivable Administrator to join our team effective August 31, 2026, on a full-time fixed-term contract of approximately 12 months, with the potential to extend up to 18 months, to provide maternity leave coverage.
This role is responsible for the accurate and timely processing of incoming payments, customer account management, and supporting the day-to-day functions of our Accounts Receivable department. The successful candidate will play a key role in maintaining consistent cash flow, ensuring financial accuracy, and fostering positive client relationships.
Key Responsibilities
- Run monthly delivery summary invoices for all major clients, ensuring the accurate application of rates, fuel surcharge rates, and applicable taxes in QuickBooks.
- Assist with correcting invoicing errors, including rates, fuel surcharge rates, rate codes, and other billing discrepancies.
- Prepare and process manual invoices for OEM miscellaneous moves.
- Run OEM payment reports, reconcile payments, and accurately record transactions in QuickBooks.
- Calculate and distribute fuel surcharge rates to manufacturers as required.
- Follow up on overdue invoices and manage collections in a timely and professional manner.
- Generate accounts receivable aging and unpaid invoice reports to monitor outstanding balances.
- Communicate with clients regarding billing inquiries, outstanding invoices, and other payment-related matters.
- Participate in cross-training initiatives to develop and maintain proficiency in related accounting and billing functions, provide backup support during staff absences, assist in training team members to ensure continuity of operations, and serve as backup for the Accounts Payable function when required.
- Perform other duties as assigned by management.
What You Bring
- Diploma or certificate in Accounting, Finance, or a related field (or equivalent experience).
- Minimum two years of experience in an accounts receivable or similar accounting role.
- Solid understanding of accounting principles and accounts receivable processes.
- Proficiency with accounting software and Microsoft Office, particularly Excel.
- Excellent organizational and time management skills.
- Strong attention to detail and a high level of accuracy.
- Effective communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Experience in the transportation or logistics industry is considered an asset.
