Job Overview
As the Executive Assistant to the CEO, you will provide a high-level of administrative, operational and strategic support to the CEO of BDL. This role is responsible for managing the CEO’s schedule, coordinating communications, supporting decision-making, and ensuring smooth operations of executive office functions. At BDL we expect the EA to act as a trusted partner to the CEO, liaising with internal teams, clients, contractors, consultants and external stakeholders while maintaining the highest level of professionalism, confidentiality and discretion.
Roles & Responsibilities
Executive Support
- Manage the CEO’s calendar, ensuring it is kept up to date, with appointments, meetings, and priorities to help optimize their time.
- Plan travel arrangements, including accommodations and logistics for business trips.
- Anticipate scheduling conflicts and proactively manage competing demands, provide daily briefings of changes and upcoming appointments.
- Prepare agendas, presentations, briefing materials, reports, and correspondence for meetings and events.
- Screen and prioritize emails, phone calls, and other communications.
- Draft professional communications on behalf of the CEO, when required.
- Track action items and follow up with stakeholders to ensure timely completion.
Meeting & Project Coordination
- Coordinate executive and leadership team meetings, including scheduling, logistics, and documentation.
- Prepare meeting minutes, disseminate and maintain records of decisions and commitments.
- Monitor progress on strategic initiatives and construction projects as directed by the CEO.
- Support project reporting by gathering and organizing information from department leaders.
- Assist with the planning and execution of board meetings and investor presentations when required.
Stakeholder Management
- Serve as a primary point of contact between the CEO and internal/external stakeholders.
- Build and maintain positive relationships with employees, clients, vendors, consultants, government agencies, and industry partners.
Administrative Operations
- Manage confidential and sensitive information with discretion.
- Organize and maintain executive files, contracts, reports, and company records.
- Process expense reports and monitor executive office budgets as required.
- Coordinate and plan company events and leadership meetings.
Business Support
- Assist the CEO with business development initiatives, research, proposals, and client relationship activities.
- Identify opportunities to improve efficiency and effectiveness within executive operations.

Pay: $70,000.00-$90,000.00 per year
