Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support our Operations team in a fast-paced transportation and logistics environment. The ideal candidate will be highly organized, will have strong clerical skills, proficiency in various software tools, comfortable working with data and systems, and able to communicate professionally with customers and internal teams. Strong Excel skills, attention to detail, and the ability to multitask are essential for success in this role. This role involves managing front desk responsibilities, data entry, and providing administrative support to ensure smooth daily operations.
Responsibilities
Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Input and maintain accurate information in the Warehouse Management System (WMS) and delivery tracking systems
- Assign and coordinate delivery orders to support daily operations
- Process purchase orders (POs), including data entry and receiving
- Prepare, update, and maintain operational reports and spreadsheets
- Assist with data analysis to support operational decision-making
- Communicate with customers by phone and email regarding deliveries, orders, and service updates
- Maintain organized records, files, and documentation
- Support cross-functional teams with administrative tasks as needed
- Ensure accuracy and timeliness in all data entry and reporting functions
Experience
- Prior office experience with strong familiarity of Microsoft Office (Word, Excel) and Google Workspace tools
- Previous clerical experience including data entry, filing, and handling multi-line phone systems
- Customer service experience demonstrating professionalism and effective communication skills
- Strong organizational skills with the ability to multitask efficiently
- Proven ability to provide excellent customer support in a professional setting
Qualifications
Required:
- High School Diploma or equivalent
- Strong proficiency in Microsoft Excel (formulas, spreadsheets, reporting, data organization)
- Excellent verbal and written communication skills
- Strong customer service and phone communication skills
- High attention to detail and accuracy
- Strong organizational and time management skills
- Ability to multitask and work in a fast-paced environment
Preferred:
- College diploma or certificate in Business Administration, Logistics, Supply Chain, or a related field
- Previous experience in transportation, logistics, warehousing, or administrative support
- Experience working with Warehouse Management Systems (WMS) or delivery tracking systems
