Responsibilities:

- Manage and oversee daily office operations
- Coordinate and schedule appointments, meetings, and events
- Answer and direct phone calls and emails
- Maintain office supplies and equipment inventory
- Prepare and distribute correspondence, memos, and reports
- Assist in budgeting and financial record-keeping and expense tracking
- Manage vendor relationships and negotiate contracts
- Client database management
- Contract and document preparation & project documentation
- Listing coordination & transaction coordination
- File management
- Client follow-up
- Event coordination
- Market research
- Billing and Invoicing support
- Quality Control
- Develop and implement training programs for new employees
- Handle payroll processing and ensure accurate record-keeping
Qualifications & Skills:
-High school diploma or equivalent; additional education in real estate or related field a plus
- Strong clerical skills with attention to detail
- Proficient in budgeting and financial management
- Experience in vendor management and contract negotiation
- Ability to effectively manage a team of administrative staff
- Proficiency in QuickBooks or similar accounting software
- Experience in developing training programs for employees
- Knowledge of front desk operations and customer service principles
- Excellent supervisory skills with the ability to delegate tasks effectively
- Strong administrative skills with proficiency in Microsoft Office Suite
- Familiarity with payroll processing systems
This position requires a highly organized individual with excellent communication skills. The ideal candidate should have a strong background in office administration, including experience in budgeting, vendor management, team management, QuickBooks, training development, front desk operations, supervising, administrative tasks, and payroll processing.
