The Opportunity
We are currently hiring a Receptionist/Executive Assistant to join our team in Grouard, Alberta. This is a full-time, permanent opportunity to support both daily front desk operations and executive-level administrative tasks in a meaningful and community-centered environment.
Reporting to the Executive Director, the Receptionist/Executive Assistant will ensure a professional and welcoming environment for clients, staff, and visitors while providing high-level administrative support including scheduling, correspondence, recordkeeping, and event coordination.
Some key responsibilities include:
- Greet and direct clients and visitors in a professional and courteous manner
- Answer and route incoming calls; respond to general inquiries or forward messages
- Manage incoming/outgoing mail, deliveries, and maintain office supply inventory
- Maintain and update office directories, contact lists, and client sign-in protocols
- Coordinate the Executive Director’s calendar, appointments, and meeting schedules
- Prepare and review agendas, minutes, and various reports or correspondence
- Track deadlines and manage follow-up items on behalf of the Executive Director
- Organize internal and external meetings, events, and presentation materials
- Uphold confidentiality, privacy protocols, and administrative procedures across all tasks
Who You Are
As a Receptionist/Executive Assistant, you are professional, organized, and approachable. You are often the first point of contact and set the tone for the organization.
Some important skills include:
- Communicates clearly and professionally, both in person and in writing
- Maintains a calm, respectful presence when handling inquiries or sensitive matters
- Balances multiple administrative tasks while meeting deadlines and staying organized
- Follows direction well and responds positively to feedback
- Upholds confidentiality and exercises sound judgment in all interactions
- Builds strong working relationships with staff, leadership, and clients
You possess the following education, experience, and skills:
- High School Diploma or equivalency is required
- 3+ years of experience in a receptionist or administrative support role
- Experience supporting senior leadership is preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong interpersonal skills with a focus on client service
- Experience working with First Nations communities is considered an asset
