Whitewater is seeking a highly organized and detail-oriented Manpower Coordinator to oversee the scheduling and coordination of field staff. This role ensures that crews are effectively assigned to current and upcoming projects while supporting smooth logistics and communication across the organization.
Responsibilities:
- Dispatch employees and third-party contractors to assigned jobs and locations
- Schedule crew changes and manage short-notice or emergency staffing adjustments
- Maintain and update the job booking and scheduling system, ensuring accurate tracking of
- personnel locations and days worked
- Prepare and distribute crew change communications and scheduling-related documentation
- Track and approve vacation requests for field employees in accordance with company guidelines
- Conduct daily roll calls and prepare weekly workforce reports for management
- Collaborate with Project Managers and Superintendents to monitor upcoming work and staffing needs
- Act as the primary contact for hotels and accommodation providers to resolve booking issues
- Manage hotel bookings and flight arrangements for field, HSE, and corporate personnel
- Track and reconcile accommodation-related credit card statements and purchase orders
- Negotiate preferred hotel rates and maintain relationships with accommodation providers
- Support new hires by explaining scheduling processes and maintaining open communication
- Notify HR of personnel issues including position abandonment, medical situations, or attendance concerns
- Monitor and report on days worked to ensure accurate documentation and compliance
- Other duties as required .
Qualifications:
- 2–4 years of experience in scheduling, travel coordination, or senior administrative roles.
- Strong client-facing and internal communication skills.
- Ability to handle difficult conversations and resolve conflicts professionally.
- Advanced proficiency in Microsoft Excel and solid knowledge of Microsoft Office Suite.
- Excellent organizational skills with strong attention to detail and the ability to multitask.
- Proven ability to collaborate, share information, and thrive in a team environment.
- Proven working experience in an operational resource management environment
- Must reside in the Grande Prairie region
Shift to be confirmed. Will be 10 days on, 4 days off schedule or 12 days on, 6 days off schedule
