Position Overview
This is a rare opportunity to join a fast-moving, growth-oriented organization at an early and formative stage. As Office Administrator, you will be a central part of how Kendrix operates day-to-day — the first face people see, the voice behind our communications, and a key support to our leadership team and field operations.

Key Responsibilities
Office & Administrative Operations
- Follow Kendrix Technologies’ standards, rules, and policies.
- Serve as the welcoming first point of contact for guests, new hires, and colleagues at the Burnaby office — setting a professional and positive tone for everyone who walks through the door.
- Coordinate the day-to-day administrative operations of the office, ensuring efficient workflow across billing support, customer service, and reporting functions.
- Maintain organized recordkeeping systems, including contract filing and management of confidential company and client documentation in accordance with company policy.
- Provide direct administrative support to executive leadership, including meeting preparation, correspondence management, and completion of required business forms and documentation.
- Coordinate employee appreciation initiatives and organize team events that contribute to a positive and connected workplace culture.
- Provide cross-departmental administrative support to Purchasing, Finance, Operations, and Sales as required, including invoice coordination, purchase order tracking, proposal support, and CRM documentation.
Client Communications & Customer Service
- Act as a primary point of contact for client inquiries, resolving customer concerns professionally and escalating complex issues to management as required.
- Manage the company’s general email correspondence, drafting and responding to professional business communications on behalf of the company and senior management.
- Maintain a high standard of written and verbal communication in all client and stakeholder interactions.
Business Development Support
- Perform daily review of public and private bid portals, assess relevant opportunities, and prepare clear summaries for leadership review and go/no-go decision-making.
- Enroll in and maintain the company’s registrations across business portals including vendor qualification programs, requests for qualifications (RFQs), safety compliance platforms, and licensing registries.
- Support the preparation and submission of proposal documentation, pre-qualifications, and compliance filings on behalf of the company.
Social Media & Brand Presence
- Support and manage social media accounts for Kendrix Technologies and Citiloc, including content scheduling, community engagement, and performance monitoring.
- Contribute to the development of professional, on-brand content that reflects Kendrix’s values, services, and culture.
- Collaborate with leadership on communications that support recruitment, client awareness, and company visibility.
Knowledge, Skills & Experience
- This is a full-time, in-office position based in Burnaby, BC.
- Friendly, professional, and genuinely helpful — someone who makes colleagues and guests feel welcome and well-supported.
- Strong English language proficiency is required — both written and verbal.
- Proficiency with Microsoft Office tools including Word, PowerPoint, Excel, Teams, and Planner.
- High degree of organizational skill and attention to detail, with the ability to manage multiple priorities simultaneously.
- Discretion and professionalism in handling confidential information.
- Experience managing social media accounts for a business is an asset.
- Experience with graphic design concepts and tools (e.g. Canva, Adobe Creative Suite) is an asset.
- Post-secondary education in business administration, communications, or a related field is an asset.
