Job Summary
We are seeking a highly organized and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing front desk operations. This role requires proficiency in various administrative tasks, including data entry, filing, and handling multi-line phone systems. The Receptionist will play a crucial role in ensuring smooth office operations and maintaining a welcoming environment.
Duties
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage incoming calls using multi-line phone systems, directing calls to appropriate personnel.
- Perform data entry tasks accurately and efficiently, ensuring all information is up to date.
- Maintain filing systems for both electronic and paper documents, ensuring easy retrieval of information.
- Provide administrative support including typing, proofreading documents, and preparing correspondence.
- Utilize Microsoft Office and other applications for various clerical tasks.
- Assist with bookkeeping tasks as needed, including invoicing and managing accounts using Sage50.
- Handle customer support inquiries with professionalism, addressing concerns promptly.
- Ensure the front desk area is organized and presentable at all times.
- Collaborate with team members to enhance office efficiency and workflow.
Qualifications
- Previous office experience is required.
- Must be bilingual English/Spanish
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong computer skills with the ability to learn new software quickly; familiarity with SAGE50 is a plus.
- Excellent organizational skills with attention to detail; ability to manage multiple tasks simultaneously.
- Strong typing skills with proficiency in data entry; experience with clerical duties is essential.
- Exceptional phone etiquette and customer service skills; ability to communicate effectively with clients and staff.
- Experience handling administrative responsibilities in a fast-paced environment is advantageous.
- Ability to maintain confidentiality while managing sensitive information.
Job Type: Full-time
Pay: $18.00-$19.50 per hour
