Position Overview
Seeking a highly skilled, organized and detail focused individual to provide oversight of all logistical, project and administrative support to the organization (National Chief - NCO and Chief of Staff - COS) . The Executive Coordinator will be accountable for coordinating advocacy within the Office, including the tactical organization of events, overseeing, and tracking the development of both internal and external materials, overseeing administrative supports, and scheduling. This role will be responsible for coordinating research, briefing preparation, drafting correspondence, and tracking of approvals for the Office.
Specific Accountabilities

Provides support and assistance to the NCO.

Processes documents and correspondence within the NCO.

Liaisons with NCO contractors and provides requested information.

Tracks NCO and COS’s invitations and follows up with their Scheduling Team. Assists with the planning and implementation of the NCO and COS’s schedule.

Supports the NCO and COS who interacts with the Prime Minister, Governor General, Federal Government Ministers, and Senior Federal Officials to advocate for funding, policy and legislation changes, program changes and implementation, and to influence the federal budget to positively impact First Nations.

Attends Executive Committee meetings, AGAs and SCAs as required.

Participates in political rallies as required.

Interacts and positively communicates with the National Chief, National Chief’s Office, the Executive Committee, First Nations Chiefs, and AFN Secretariat staff.

Assists with the coordination, processing, editing and completion of materials such as briefing notes, speaking notes, PowerPoint presentations, annual reports, reports, quarterly reports, updates, letters, memos, brochures, posters, postcards, e-bulletins, email, articles, papers, and invitations, etc. To be done within specified timelines. Laserfiche is used to process and file approved documents.

Interacts and positively communicates with others via telephone, in-person, and Skype, etc.
Political Functions

Attends Chiefs-in-Assembly meetings (SCA, AGAs) as required.

Attends political advocacy events and rallies as required.
Generic Functions

Attends meetings to contribute positively to planning processes focusing on matters related to the NCO’s Office.

Submits leave requests to the COS.

Other duties as assigned.
Position Scope/Impact of Error
The impact of decisions is high as it relates to high level functions in the NCO’s Office.
Qualifications
-
University or college-related experience in the social sciences, business administration or related fields, or a combination of education and experience.

4+ years of demonstrated political, project or executive support experience.

Experience in a political office environment would be a considerable asset.

Excellent political acuity with a high degree of trust and confidentiality.

Knowledge of AFN, First Nations organizational structures, governmental structures, mandates, interest, concerns, program mandates, key personnel within, the organization and program activities of other jurisdictions which are related to or have an impact on AFN activities.

Excellent interpersonal relationship management skills.

Self-motivated, team players are excited to work in a fast-paced environment.

Ability to manage multiple projects and follow through in a timely manner.

Excellent communication skills with internal and external staff, clients, community and regional leaders, government officials and representatives.

Strong aptitude to see and manage varied projects and effectively coordinate across projects to ensure synergies are leveraged and projects are not dropped.

Attention to detail and dedication to accuracy.

Excellent writing skills

Advanced Word, Excel, PowerPoint, Outlook, and internet skills are essential.

Resourceful, proactive, reliable, trustworthy, and assertive when necessary.

Ability to handle confidential information in a professional & discrete manner.

English is the working language; however, the ability communicate in a First Nations Language or French is an asset.
