Job Description: Project Coordinator
Position Overview
We are seeking a highly organized and detail-oriented Production Coordinator with strong experience and interest in Project Management.
The ideal candidate is responsible, reliable, and demonstrates excellent written and verbal communication in English. This role supports financial accuracy and daily administrative operations.
You will be focused on ensuring customers feel supported throughout the project cycle and after delivery cycle. Ensure customers are left with a strong positive impression of the company once the project is complete.
Production Coordination
- Manage multiple tasks concurrently while meeting deadlines and maintaining attention to detail.
- Serve as a point of contact for clients and build strong relationships with individuals at all levels of client organization.
- Have a consultative approach with clients to choose products if required. Follow up with clients and provide answers at different stages of sales order.
- Resolve product or service problems by clarifying the customer's complaint: determine the cause of the problem, select and explain the best solution to solve the problem, expedite the correction or adjustment, follow up to ensure resolution.
- Review line drawings and liaise with Engineering, Sales, Clients, and Production to confirm requirements for lighting and control system build-outs.
- Ensure timely shop-floor execution and project delivery. Ensure completed builds meet project specifications, quality standards, and internal production requirements.
- Translate project deadlines into daily production targets, monitor shop-floor output against timelines, and report operational risks, bottlenecks, or capacity constraints to executive management.
- Report product or service issues by expediting corrections or adjustments and following through to ensure timely resolution.
- Coordinate shipping requirements, including labels, packaging, oversized-order case building, courier/carrier appointments, and domestic, U.S., and international shipments to avoid delays and additional charges.
- Maintain accurate and organized production documentation, build notes, technical records for each customer project.
- Ensure standard procedures for completed projects is followed.
- Identify and implement opportunities to improve standardization, production efficiency, documentation, quality, and customer satisfaction.
Cross-Functional Coordination
- Submit sample request to Production, track and receive loaned samples, and invoice unreturned samples.
- Maintain product samples library and sample cases.
- Facilitate cross-departmental communication to ensure transparency, resolve bottlenecks, and maintain consistent messaging across client touchpoints.
- Coordinate with internal teams to align production, technical, sales, design, and customer-facing commitments.
- Champion a collaborative approach to problem-solving and innovation, ensuring internal teams remain aligned with project requirements and external commitments.
Business Support
- Perform scheduled processes such as inventory counts.
- Maintain inventory records and advise for restock as needed.
- Collaborate with Sales, Marketing, and Management to support customer-facing initiatives, events, and business development activities.
- Represent SGi Lighting at trade shows, exhibitions, and industry events as required.
- Identify notable or award-worthy projects for use in presentations, website content, marketing materials, and social media.
General Responsibilities
- Execute duties with professionalism, collaboration, and humility.
- Provide timely updates to management and internal teams regarding project status, priorities, risks, challenges, and opportunities.
- Assist with onboarding and training new employees and associates.
- Ensure daily tidy up of kitchen, dishes and dishwasher.
- Perform additional duties as required to support overall company operations.
Qualifications & Skills
- Strong proficiency in Microsoft suite (mandatory)
- Experience working with numbers, project management or similar role
- Advanced knowledge of Microsoft Excel (formulas, data tracking, reporting)
- Excellent attention to detail and high level of numerical accuracy
- Strong written and verbal English communication skills
- Highly organized with the ability to manage multiple tasks effectively
- Responsible and reliable with strong follow-through
- Ability to work independently and meet deadlines

Industry Experience (Preferred)
- Experience in manufacturing, lighting, or project-based industries is considered an asset
- Familiarity with inventory management, purchase orders, and project costing is preferred

Pay: $20.00-$31.41 per hour
